Job Description
Job Summary We are seeking a dedicated Administrative and Marketing Assistant to join our dynamic team. This role is essential in supporting daily office operations at a property management company. The ideal candidate will demonstrate excellent organizational skills, proactive attitude to ensure smooth workflow and effective communication. Duties Provide front desk support, including greeting visitors and managing multi-line phone systems with professionalism and courtesy. Handle incoming calls with proper phone etiquette, directing inquiries efficiently and providing excellent customer service. Manage calendar appointments, schedule meetings, and coordinate events Perform data entry, maintain accurate filing systems, and ensure document proofreading for clarity and correctness. Assist with bookkeeping tasks, including invoicing, expense tracking, and basic financial record keeping.
Support marketing efforts by updating social media platforms, preparing promotional materials, and assisting with email campaigns. Maintain office supplies inventory and oversee general office management duties to promote an organized workspace. Provide administrative support to team members, including personal assistant responsibilities such as calendar management and travel arrangements. Requirements Proven experience in office management, clerical work, or administrative roles within a professional setting. Proficiency in QuickBooks for bookkeeping and financial tasks. Strong computer skills with familiarity in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications. Excellent organizational skills with the ability to prioritize tasks effectively Experience handling multi-line phone systems and customer support functions. Demonstrated attention to detail in proofreading, data entry, and filing processes. Knowledge of office etiquette and professional communication standards. Prior experience in personal assistant roles or calendar management is advantageous. Ability to adapt quickly to new software tools and office procedures while maintaining a positive attitude.
