INTRODUCTION
Classique Wines was founded in 1999 as a boutique French wine distributor, thus the name. In time, our role began changing to reflect the evolving tastes in the wine world. The idea of being a boutique wine (and future spirits) distributor did not waiver. The mission of our company was and is to bring high quality, market-value-priced wines and spirits from all over the globe to your table. In most cases, these are small producers with limited distribution.
FUNCTIONAL ROLE
The Office Assistant is responsible for keeping an office running smoothly and overseeing administrative support . The job can range widely in duties and responsibilities, from answering incoming phone calls, purchasing office supplies, supervising office staff, copy editing and support, to handling a specific type of paperwork or filing for a specific department. This position has a marketing component that requires updating our social media and website, along with our catalog and help with any sales tools the sales team may need. An office assistant is as much a people-person as systems person, integral to cultivating company culture and steering the ship in the right direction. Often the face of the office environment, he or she interacts with visitors, customers, clients, and employees at every level, every day. The office assistant position, demands organizational skills, efficiency, and personability. Day-to-day, this person ensures operations run smoothly by doing whatever it takes to keep the company and its people productive. The Office Assistant serves as a significant part of the internal control process, the safeguarding of company assets, and in insuring the company's revenue process. This position is integral to the successful execution of the company's operations, and achievement of company goals. .
Basic functions include:
- Administer company's resources and assets.

EDUCATION:
Required:
High School Diploma.
Required:
College Degree.
EXPERIENCE
Ten years of experience as an Office Administrator with at least 5 years in the boutique wines and spirits industry (Preferred)
SKILLS & KNOWLEDGE
Detailed knowledge of distribution and office work. The ability to communicate with and understand the specialized needs of the local vendors and customers. The ability to train, motivate and develop office personnel. The ability to use a computer and to understand and interpret commercial documents. Competent in Microsoft Word and Excel and a working knowledge of Quickbooks.
PHYSICAL
Body Positions:
Sitting, standing, kneeling, crouching and stooping.
Body Movements:
Turning head and torso, bending and flexing arms, wrists, and fingers, use hands to feel objects, reach with hands and arms and lift or move 50 lbs.
Body senses:
Must be able to see and hear, have full power of speech as well as communicate on the phone with customers and associates. Must be able to see to read correspondence and related material and reports and have specific vision. This including close vision, distance vision, color vision, peripheral vision, depth perception and ability to adjust focus.
MENTAL:
Language:
Must be fluent in English and able to read and prepare reports, generate computer reports, and communicate effectively with peers, customers, and outside associates.
Mathematics:
Must be able to calculate gross profits and margins. Complete routine arithmetic computations well enough to check invoices, orders, and track trends. Review and calculate pricing, and compensation plans.
WORKING CONDITIONS
The Office Administrator works indoors, and must be able to effectively communicate with vendors, salespeople, business owners and customers. S/he will spend time in all areas of the Company including the finance, warehouse, sales, shipping, receiving, and inventory management departments.
AUTHORITY
The Office Administrator is given full authority to conduct, manage and administer office affairs.
This authority includes:
- Setting the limits for the activities of employees so that the Departments can function when the manager is absent from the location.
- Providing input to Ownership for the formulation and development of the Standard Operating Procedures for the department. Implementation of these goals in cooperation with other department employees.
- Accurate recording of new hire documents and working with accountant for accuracy and payroll. The Office Administrator is ultimately responsible to the Ownership for the successful performance of all employees assigned.
- Taking any reasonable action necessary to carry out the responsibilities of management, so long as such action does not deviate from established company policies and is consistent with sound business judgment.
DUTIES AND RESPONSIBILITIES
- Design and Develop Policy and Procedures for employees.
- Perform Orientation and Onboarding for new hires
- Manage and Upkeep Employee benefits and records
- Conduct Employee performance reviews (if necessary)
- Recruit and train new office hires (if applicable)
- Manage all employee benefits and Worker's compensation
- Manage all office expenses
- Vehicle Maintenance and Fuel Cards
- Manage all compliance matters, licenses, city and state
- Office Supplies Maintain and organize the office
- Manage IT Support
- Recognize and perform duties which need to be performed although not directly assigned
- Maintain a well-groomed, professional appearance appropriate for the position and situation. Build and maintain a healthy company culture by curating and supporting voluntary activities Assist in marketing (catalog, newsletter, social media etc.)
- Perform such other duties as may be required.

Performance standards for this position are met when:
- Gross profit and net profit goals for the Company are achieved.
- Effective Overhead Budget Management
- The department runs efficiently and harmoniously whether you are present or not.
OWNER SUPPORT AND ACCOUNTABILITY
- Provide support to Ownership to ensure no subordinates break policy and procedures are enforced and followed
