Job Description

Overview We are seeking a motivated and detail-oriented Real Estate Assistant to support our dynamic real estate team of two agents. This role is essential in ensuring smooth operations within our office and providing exceptional service to our clients. The ideal candidate will possess strong organizational and time management skills, a solid understanding of real estate practices, and the ability to communicate effectively with diverse clientele. 20-30 hours a week, need flexibility. Saturdays occasionally. Responsibilities Assist in managing daily administrative tasks related to real estate transactions and marketing efforts. Maintain and organize client files, ensuring all documents are up-to-date and compliant with real estate law. Communicate effectively with clients, agents, and vendors to facilitate smooth transactions. Conduct market research to assist agents. Prepare marketing materials for listings, including flyers, online postings, and social media content. A wide variety of tasks. Provide excellent customer service by addressing client inquiries promptly and professionally. Support the sales team in scheduling appointments, showings, and open houses. Assist with the preparation of contracts and other legal documents related to real estate transactions. Various personal tasks as needed. Administrative Assistant Responsibilities Complete paperwork for all real estate transactions in a timely manner to ensure a deal is closed as quickly as possible. Monitor deadlines and provide notices to appropriate parties when necessary Ensure each transaction complies with legalities and any tax withholdings are complete Schedule necessary appointments with all parties, including open houses and the final walkthrough. Schedule and coordinate social media and email marketing campaigns to go out to pre segmented blocks Help organize community outreach events to improve our standing in the local area Produce all marketing materials including brochures, flyers, online marketing, social media posts, etc. to continuously build our brand Compile and distribute weekly/monthly reports and communicate key results to the rest of the team to ensure company goals are being met Deliver concierge-level customer service to sellers, buyers, and lenders to improve customer satisfaction ratings Participate in training sessions to improve skills with administrative tasks in the real estate industry Marketing Responsibilities Streamline company materials and campaigns to ensure a consistent and concise message Create, deliver and edit marketing materials and advertising campaigns that are effective and timely Develop new community events and all signage to encourage and entice potential buyers Manage website design, content, SEO development and tracking analytics to ensure all content is up to date and relevant Update all Facebook, Twitter, Instagram, and other social media posts and respond to followers Support the company and agent by tracking incoming leads/prospects so marketing campaigns can be adjusted accordingly to help ensure company growth Plan and organize all team events, take photos, videos and then market on social media Additional tasks / in field tasks You'll be responsible for conducting site inspections to verify repairs, status of property, meet with vendors, refresh flyers, deliveries, purchasing tasks, etc. In addition, you may have some miscellaneous projects to assist the group with their day to day business. Lead generation tasks, phone calls and emails and direct mail. Personal tasks and errands will be performed. Requirements Proven experience in a real estate administrative role is preferred. Ability to multi-task in a fast paced environment. Excellent organizational skills with a keen attention to detail. Ability to communicate clearly and effectively, both verbally and in writing. Bilingual or multilingual proficiency is a plus, enhancing communication with diverse clients. Strong customer service skills with a focus on client satisfaction. Familiarity with market trends and sales strategies within the real estate industry is advantageous. Proficiency in Microsoft Office Suite, Mac programs and real estate software applications, Canva, Cap Cut, AI programs, Excel, etc. Docusign and the MLS system a big plus!.
