THE OPPORTUNITY
I'm Allison McGill, real estate broker, serial entrepreneur, big dreamer, and someone who is fulfilled by real relationships, not transactions. I've been in real estate since 2016, and I lead my business with kindness, creativity, and open-mindedness (and a lot of iced coffee). I love supporting other small business owners, especially women, and outside of work I'm gardening with my rescue dog Oliver, practicing my amateur photography skills with my Canadian husband, spending time with my rotary club, or geeking out over wine. (Certified sommelier, just for fun.) I am seeking a dynamic and proactive Operations and Marketing Assistant to support a busy real estate agent in delivering exceptional service and driving business growth. I'm looking for a collaborative partner and a true right-hand. We will align on the big picture together, and then you'll build the plan and own its execution. We will have regular check-ins and feedback will flow both ways. I genuinely want this role to grow with the business, and the right person will help define what that looks like.
WHAT YOU'LL OWN
Pillar 1: Operations & Executive Assistant You'll be the operational backbone of this business, building the systems, managing the client journey, and making sure nothing falls through the cracks. This is the EA + ops manager role: you own the infrastructure that lets the business run without me being in every detail. Build and manage client flow systems for pipeline, active, and past clients (buyers and sellers) Integrate those systems into the day-to-day operations of the business Create and manage client intake processes so every new client has a consistent, professional onboarding experience Own the
CRM:
data hygiene, contact management, post-closing follow-up sequences, and reporting Ensure no past client goes without a meaningful touchpoint Plan and execute closing gifts that are thoughtful, on-brand, and delivered on time Plan and execute referral gifts and appreciation gestures for clients who send us business Plan and coordinate client events: appreciation events, seasonal gatherings, and community activities Track gifting budgets, vendor relationships, and timelines Handle tasks that come up as the business grows (this list will evolve) Personal errands may be requested from time to time If you see a way to help that's not on this list, say something Pillar 2: Marketing & Lead Generation Consistent, strategic, and visible. You'll own the marketing engine that keeps this business top of mind and the pipeline full. You'll work across social media, listing campaigns, and lead-capture tools to build momentum and track what's working. Plan a monthly social media content calendar aligned to business activity and seasonal moments Create or coordinate content (graphics, copy, video editing) using tools like Canva, Edits, Flowdesk, or similar Manage our Linktree and lead-capture entry points to ensure they're current and converting Schedule and publish content across relevant platforms Track engagement and surface insights that help us improve Plan and execute pre-listing and active-listing marketing campaigns: mail campaigns, social posts, email blasts, and open house promotions Coordinate with vendors (photographers, designers, printers) and manage timelines Maintain a listing launch checklist and ensure every property launches on-brand and on time Help develop a structured lead-gen system to create consistent inbound interest Manage incoming leads: timely follow-up, CRM entry, and routing Track lead sources and conversion metrics so we know what's working Identify gaps in the pipeline and proactively flag them
