This position performs key support and administrative duties for the Chief Executive Officer (CEO). This role requires the ability to exercise sound and independent judgement with respect to matters of significance. This role is directly responsible for the direction and oversight of the executive office. This role requires a strong business acumen and professionalism. This role supports both the President and Chief Executive Officer, the Executive Team, and the Executive Board of Directors. ESSENTIAL RESPONSIBILITIES BRAND SPECIALIST
Organizes and supports all Fundraising and Public Relation events
Responsible for the marketing and public relations efforts as it pertains to events including development of budgets, timelines, sponsor proposals, donor databases, volunteer participation, design of event materials, prizes, event set up/breakdown, and thanks and recognition efforts
Oversees the accuracy and maintenance of the CRM database
Manages and prepares all Foundation related purchase orders
Provides supervision to all staff working on fundraising and outreach related assignments
Manages the content and administration of the Gateway website and makes sure information is up to date
Manages and tracks data for reporting and metrics regarding fundraising events, volunteerism, and mission driven efforts (internal and external events)
Assists the Executive Team in the creation/timeline of social media content EXECUTIVE ASSISTANT TO THE CEO
Completes a broad variety of administrative tasks including managing deadlines on behalf of the CEO, managing an active calendar of appointments, completing expense reports, coordinating the activities of the executive office, composing and preparing confidential correspondence, agendas, and other administrative tasks as assigned
Prepares the Annual Report, and exercises initiative in gathering the necessary information from the respective departments
Works closely with the CEO and the Executive team to keep them well informed of upcoming commitments and responsibilities
Responsible for all assignments relating to the Board of Directors. Maintains the Board of Directors by-laws, minutes, correspondence, policies, procedures, and Board member terms of service. Schedules Board meetings including Board committee meetings. Tracks agenda items, times, and completion of action items/motions. Assists in writing Board Resolutions, in collaboration with the CEO & CFO/Executive VP. Attends/participates in Finance Committee & Board meetings
Prepares the Finance Committee packet, the Board packet and distribution of the executive Board Reports
Manages and prepares the AOC schedule and sends out weekly updates/reminders. Collaborates with answering service on AOC schedule
If assigned by the CEO, act as the primary marketing/PR respondent for matters of community outreach, networking, or interest
All other duties as assigned by the President & CEO Qualifications QUALIFICATIONS REQUIRED QUALIFICATIONS
Education:
Associate's degree Experience:
Three years' experience as an Executive Assistant or four years of office management experience Licenses / Certifications:
N/A PREFERRED QUALIFICATIONS
Five years' experience as an Executive Assistant preferred
Experience with Microsoft Outlook
CRM database experience preferred
Marketing and events experience preferred REQUIRED SKILLS
Must have a strong working knowledge of Microsoft Office Suite
Must be able to manage multiple priorities
Professionalism and ability to handle confidential information with integrity WORKING CONDITIONS
