With locations across Texas—including Houston, San Antonio, Odessa, Corpus Christi, and the Rio Grande Valley—IOSI provides both surgical and non-surgical treatment under one roof through our dual-specialty practices: ClinTech - Spine Surgery & Pain Management Ortho Pros - Orthopedic Surgery & Sports Medicine Our team works closely with attorneys, medical partners, and patients to ensure streamlined care, efficient communication, and exceptional patient outcomes from initial evaluation through recovery. Position Overview We are seeking a highly organized and proactive Clinic Administrator to oversee and support the daily operations of our growing personal injury practice. This role serves as a bridge between clinical staff, patients, attorneys, and physicians to ensure efficient workflow, timely communication, and excellent patient care. The ideal candidate is a strong multitasker with experience in medical office operations, personal injury coordination, and team leadership. This individual should be comfortable managing administrative responsibilities, overseeing office efficiency, supporting patient coordination, and assisting with occasional referral and marketing efforts. Key Responsibilities Clinic Operations & Administration Oversee daily clinic workflow and support front office and clinical staff operations Coordinate patient scheduling, follow-up appointments, imaging, injections, and surgical procedures Ensure accurate and timely documentation within the EHR system Manage patient check-in/check-out processes and daily office communication Maintain organized medical records and office systems Assist with staff coordination to ensure smooth day-to-day operations Legal & Personal Injury Coordination Collect, organize, and maintain Letters of Protection (LOPs) and related legal documentation Communicate with attorneys regarding patient treatment updates, scheduling, procedure estimates, and approvals Coordinate surgical and diagnostic orders with affiliated hospitals and facilities Track procedure approvals, scheduling progress, and patient care timelines Assist with billing coordination and ensure accurate entry of charges, procedures, and surgical cases within Office Ally and related systems Financial & Operational Support Assist leadership with monitoring office performance, patient flow, and operational efficiency Support monthly operational reviews related to: Patient volume Revenue by location Pending procedures Scheduling efficiency Referral and growth opportunities Help identify workflow improvements and operational solutions Marketing & Referral Support Occasionally assist with referral relationship management and outreach efforts Help coordinate visits, follow-ups, and communication with attorney offices and referral partners Support community outreach events, networking opportunities, and marketing initiatives as needed Assist with tracking referral activity and marketing engagement Qualifications Previous experience in medical office administration or clinic operations required Personal injury, orthopedic, spine, or pain management experience strongly preferred Strong understanding of medical office workflow, scheduling, and patient coordination Experience with Office Ally or similar EHR/billing systems preferred Excellent organizational, leadership, and multitasking skills Strong verbal and written communication abilities Professional and confident communication with patients, attorneys, and medical staff Bilingual (English/Spanish) strongly preferred CMA or RMA certification is a plus but not required Compensation & Benefits Competitive pay based on experience Mileage reimbursement Growth opportunities within a rapidly expanding medical organization Collaborative and professional work environment Schedule Full-Time Monday to Friday 8-hour shift Work Location In person -
