Job Description
Join our growing team as our Sales Administrative Assistant! At HTT Inc. our vision is to be a premier metal solutions provider by exceeding industry benchmarks, while partnering with our employees, owners, business partners and our community to make a difference in their lives. We are World Metal Stamping! Currently we have 25 to 500 ton press capabilities and can produce parts via stamping, fabrication, powder coat, and resistance welding within markets including home improvement, automotive, residential, and recreational industries.
Position Summary :
The Sales Operations Administrator supports the Director of Business Development and Supply Chain and sales team by coordinating meetings, managing CRM data, and organizing key sales activities. This role ensures accurate reporting, streamlined communication across departments, and timely follow-up on customer opportunities. The position also supports customer surveys and light marketing initiatives to strengthen customer engagement and business development efforts. Essential Duties & Responsibilities Sales Team & Leadership Support Coordinate and organize meetings, travel, and schedules for Sales Team Prepare meeting agendas, capture notes, and track action items to ensure timely follow-up Perform general administrative duties to support the sales department's efficiency and organization Track key account activity and assist in preparing account review materials Sales Operations & Data Management Maintain and update CRM systems with customer interactions, quotes, project status, and sales activity Compile, organize, and analyze sales data, forecasts, and performance reports Support quote tracking and follow up with customers on open opportunities Monitor bid portals and customer RFQs and distribute internally as needed Maintain organized records of contracts, NDAs, pricing agreements, and customer documentation Customer Experience & Communication Complete and manage customer surveys; compile data from internal experts to achieve compliance with customer requirements Serve as a liaison between sales, engineering, production, and customer service teams to ensure clear communication Assist with preparation of sales presentations, proposals, and customer materials Marketing & Business Development Support Support light marketing efforts including website and social media updates (e.g., LinkedIn), content coordination, and idea generation for campaigns Help maintain company marketing materials such as brochures, case studies, and website updates Assist in coordinating trade shows, customer visits, and industry events Comply with company and safety policies. Other duties as assigned. Experience/Qualifications 2+ years of experience in sales support, sales operations, administrative support, or a related role (manufacturing or B2B experience preferred) Proficiency in CRM systems (e.g., Salesforce, HubSpot, or similar) and strong working knowledge of Microsoft Excel, Outlook, and PowerPoint Strong organizational skills with the ability to manage multiple priorities, deadlines, and schedules simultaneously Excellent written and verbal communication skills with the ability to interact professionally with customers and internal teams Detail-oriented with strong analytical and problem-solving abilities; capable of compiling and interpreting sales data and reports Physical Demands The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of this job.
