This role is responsible for executing high-impact, brand-forward events and experiences that drive awareness, engagement, stakeholder loyalty and lead generation. The ideal candidate is highly organized, collaborative and solutions-oriented, with the ability to manage multiple projects and deadlines in a fast-paced environment while maintaining exceptional attention to detail and brand consistency. This individual should be a proactive self-starter who brings innovative ideas, creative problem-solving and initiative to elevate experiences and stakeholder engagement.
Responsibilities:
Lead end-to-end event execution for internal and external activations, ensuring brand consistency and high-quality attendee experiences. Collaborate with cross-functional groups (e.g., experience teams, executive leadership, human resources and clinical leaders) to align event objectives, messaging and logistics for specific activations. Plan and execute regional and national conferences, including pre-conference logistics (shipping, ordering, vendor coordination), booth and experience activations, on-site troubleshooting and brand representation for Brooks Rehabilitation. Develop event and conference briefs that align stakeholders on objectives, audiences, messaging, deliverables, timelines and success measures. Manage vendors and partners (production, signage, venues, A/V, exhibitors), including budget management, timeline oversight, scope approvals and quality control. Facilitate internal stakeholder participation in events, conferences or meetings (e.g., speakers, staffing) and set clear expectations for roles, schedules and deliverables. Execute internal employee meetings and experiences such as the annual management and leadership conference, service awards and employee recognition ceremonies. Plan and operate internal vendor fairs that showcase Brooks programs and services; manage invitations, communications, exhibitor requirements and execution. Develop integrated event communications including pre/post-event emails, attendee updates, promotional messaging, giveaway communications and follow-up campaigns using approved templates and platforms. Partner closely with creative and content teams to develop and produce event collateral, toolkits and exhibitor assets within established timelines. Drive continuous improvement by capturing learnings, documenting processes and recommending enhancements to engagement and stakeholder experience based on feedback and post-event learnings. Track and report event outcomes, engagement metrics and operational learnings to support continuous improvement and future event planning. Provide marketing consultation across divisions, advising on best practices for event execution, promotional items, apparel, signage and collateral to protect and strengthen brand integrity. Support the development of event strategies that align with organizational goals, audience engagement and brand priorities. Proactively seek opportunities to build and improve positive relationships and credibility with colleagues, peers and stakeholders.
Requirements:
Bachelor's degree in event management, hospitality management, marketing, communications, public relations, business administration or equivalent professional work experience 3+ years of experience in marketing events, experiential marketing, event production, hospitality or conference management. Proven success leading end-to-end event execution for multiple events concurrently, including large conferences and internal activations. Experience with vendor management, venue acquisition, production timelines, shipping/logistics and on-site coordination. Strong ability to develop event briefs, run-of-show documents and stakeholder communications. Experience with event registration and email marketing platforms (e.g., Social Tables, Eventbrite, Greenvelope), including familiarity with email-building tools such as Stripo or similar programs. Experience with CRM systems, contact databases, audience segmentation and basic reporting is preferred. Excellent project management skills (timeline building, prioritization, risk mitigation and cross-functional coordination). Demonstrated ability to protect and apply brand standards across collateral, signage, promo items and attendee touchpoints. Experience with event registration and email/event communications platforms (e.g., Social Tables, Eventbrite, Greenenvelope) and basic reporting. Excellent written and verbal communication skills. Strong interpersonal and collaboration skills with a team-first mindset and comfort partnering with senior leaders and diverse internal stakeholders while maintaining a high degree of professionalism. Onsite support for events, which will require early mornings, late evenings and weekends. Travel to regional and national conferences is required. Requires problem solving, critical thinking, active listening, persuasive oral and written communication skills, project management, presentation skills and interpersonal skills. Must possess the ability to inspire trust and confidence and maintain a high degree of professionalism and confidentiality. Demonstrated initiative, creative thinking and the ability to work independently while contributing collaboratively to team success. Bachelor's degree in event management, hospitality management, marketing, communications, public relations, business administration or equivalent professional work experience. Experience and proficiency with Microsoft Office Suite, WordPress, Dropbox and other cloud-based content sharing tools. Healthcare experience is a plus.

Hours:
Monday - Friday, 8am - 5pm, This role is primarily onsite, with travel required up to 30% of the time. Flexibility may be considered based on business needs
