Job Description

Marketing Operations & Branch Engagement Specialist Reports To:
Vice President of Marketing Employment Type:
Full-Time, Salaried Exempt Position Summary The Marketing Operations & Branch Engagement Specialist serves as the tactical and logistical backbone of AlarMax's localized marketing efforts. This role is directly responsible for planning, coordinating, and tracking company, branch, and vendor events across all regions, ensuring seamless operational execution and strict accountability for event outcomes. Additionally, the Specialist provides vital administrative and execution support to the Marketing and Vendor Programs Director, managing the workflow of the monthly sales flyer and tracking vendor-related deliverables. This position bridges the gap between high-level vendor strategies and ground-level branch execution, maintaining thorough and precise data records to prove return on investment (ROI).
Key Responsibilities Branch Engagement & Event Coordination Regional Event Volume:
Coordinate, support, and track branch events across the East, Central, and West regions.
Logistics & Material Management:
Coordinate event logistics, internal and external communications, branch asset needs, and vendor presence to ensure consistent branding and seamless execution.
On-Site & Virtual Support:
Act as the primary marketing contact for branch managers regarding local event setups, including vendor workshops, counter days, and customer appreciation events.
Branch Merchandising & Execution:
Leads branch merchandising initiatives, including end cap graphics and floor decals, while managing shipment, installation tracking, documentation, and compliance verification to ensure adherence to brand standards.
Branch Engagement & Event Coordination:
Leads planning and execution of Sales Kickoff and corporate events, managing logistics (registration, catering, apparel, promotion), agenda coordination, attendee segmentation, event platform (Eventify), sponsorship, and RSVP tracking.
Event Data Tracking & Accountability Data Logging:
Document 100% of branch events in the centralized marketing tracker, thoroughly recording the date, location, participating vendors, total attendance, and generated lead lists.
Lead Pipeline Hand-Off:
Organize and clean post-event lead lists and own the prompt pass off to the Sales Development Representative (SDR) team to upload into the CRM (White Cup) after each event. Proof of Performance (PoP): Compile, format, and deliver comprehensive proof-of-performance assets (including photos, sign-in sheets, and digital metrics) after every event to facilitate co-op funding capture.
Vendor Program Support & Monthly Sales Flyer Flyer Asset Collection:
Own the monthly sales flyer submission process from vendor promotion requests to enforce strict submission deadlines and compile the submissions in an organized template.
Proofreading & Routing:
Review and proofread print proofs of the monthly sales flyer to ensure zero typographical or pricing errors before distribution.
Director Support:
Assist the Marketing and Vendor Programs Director with the execution, tracking, and administrative upkeep of vendor spotlight programs, vendor marketing campaigns, incentives, and marketing development funds (MDF).
Systems, Process & Compliance Data Hygiene:
Maintain up-to-date, accurate shared department drives, marketing calendars, and event trackers.
Brand Compliance:
Ensure all branch-level events and localized vendor marketing assets adhere strictly to AlarMax brand guidelines and partner requirements. Qualifications Bachelor's degree in Marketing, Business Administration, Communications, or a related field; or equivalent professional experience. 2+ years of experience in marketing operations, event coordination, project management, or a corporate administrative role. Proven experience managing spreadsheets, data entry, and utilizing CRMs or marketing data platforms (experience with White Cup or similar systems is highly preferred). High level of organizational skills with a proven track record of managing strict timelines and multi-step processes. Strong communication and relationship-building skills, comfortable collaborating with branch managers, corporate leadership, and external vendor partners. Proficiency in project management collaboration and other marketing tools (Asana, Jotform, AddEvent, or similar platforms).
