Modern office setting snacks, coffee provided We are seeking a highly organized and efficient Administrative Assistant to oversee and manage a variety of operational and administrative tasks in our dynamic real estate and property management business. The ideal candidate will be a central figure in ensuring smooth and efficient business operations, and will be responsible for the following:Key Responsibilities:
Financial Management :
Balancing and maintaining accurate ledgers and checking accounts. Assembling payroll and ensuring accurate and timely processing. Managing billing and invoicing for rental properties and associated businesses.Administrative Support :
Scheduling appointments and managing calendars for senior staff. Coordinating and preparing for meetings and events. Developing and implementing office policies and procedures.Real Estate and Property Management :
Listing and marketing properties for sale or lease. Coordinating repairs and maintenance for properties. Liaising with tenants, clients, and contractors to ensure high levels of service.Human Resources :
Coordinating employee scheduling, including shift assignments and vacation planning. Assisting with recruitment, onboarding, and staff training.Customer Service :
Addressing customer inquiries and resolving issues related to rental properties and pest control services. Ensuring a high level of customer satisfaction.- Manage and supervise administrative staff, providing guidance and support as needed
- Develop and implement office policies and procedures to improve efficiency and productivity
- Oversee the maintenance of office equipment and supplies inventory
- Coordinate and schedule meetings, appointments, and travel arrangements for senior management
- Handle confidential information with discretion and maintain strict confidentiality protocols
- Manage employee records, including attendance, leave requests, and performance evaluations
- Assist with human resources functions such as recruitment, onboarding, and training coordination
- Ensure effective communication within the office by facilitating regular team meetings
- Maintain accurate filing systems for both electronic and physical documents
- Handle incoming calls and inquiries with professionalism and excellent phone etiquette
Experience:
- Proven experience in an administrative or managerial role
- Strong clerical skills with attention to detail
- Proficient in using office software such as Microsoft Office Suite (Word, Excel, PowerPoint)
- Excellent written and verbal communication skills
- Ability to multitask and prioritize tasks effectively
- Knowledge of office management systems and procedures
- Experience in team management and supervision We offer competitive compensation based on experience.
