Job Description
At Alliance ENT and Hearing Center, overall success is based on each team member's ability to provide superior customer service to our patients and affiliated networks. Our Medical Assistants are tasked to provide information, services, and assistance to our patients, and work with ALL providers in the practice. Travel to all practice locations in the Milwaukee area is required.
Key Responsibilities:
- Prepare patient charts prior to office visits by having relevant office notes from referring physicians, lab and imaging results, or other needed information whenever possible.
- Verify patient medical information by interviewing the patient, recording their medical history, and confirming the purpose of their visit.
- Prepare patients for examination by performing preliminary physical tests, taking blood pressure, height, weight, and reporting patient history summary.
- Assist providers in various office procedures to include but not limited to nasal packing removal, in office biopsies, in office ear tubes, etc.
- Complete paperwork and verify all orders are complete, entered, and routed appropriately.
- Conduct patient post-op calls.
- Assist with training and mentoring medical assistants by clearly communicating, demonstrating and monitoring any new processes which effect medical assistants.
- Effectively communicates with all Alliance staff, providers, and vendors to ensure peak patient efficiency.
- Maintain a safe, secure, and healthy work environment by following set policies and procedure and report any violations to these policies immediately to the Clinical Manager.
- Ensure that proper patient exam notes are available, and the correct provider is assigned as the provider at the start of each appointment.
- Maintain patient confidentiality in accordance with HIPAA, local, state, and federal regulations.
- Answer patient's questions relating to physician's orders, surgery, or other procedures or testing.
- Maintain an open dialogue with the front office when delays occur so they may inform waiting patients.
- Follow up on patient results in accordance with the provider plan to ensure forward progress in patient care.
- Keep supplies ready by inventorying stock, placing orders, and verifying receipt of product.
- Keep equipment operating by following operating instructions, troubleshooting breakdowns, maintaining supplies, performing preventive maintenance, and informing the Clinical Manager when repairs are needed.
- Contact patient pharmacies to call in prescribed medications.
- Educate patients through the disbursement of educational handouts.
Key Requirements:
High School Diploma or GED required. A minimum of six (6) months experience as a phone operator/customer service representative/front desk receptionist in a high-volume environment. Ability to work and stay organized in a fast-paced environment while multi-tasking and managing time. Possess exceptional phone etiquette and customer service skills. Possess outstanding English communication skills, verbal and written. Above average keyboard, mouse, computer, and data entry skills are required. Familiarity with most types of modern office equipment including copiers, computers, scanners, phones, and fax machines. Requires self-direction, tact, diplomacy and a clear, courteous and professional manner. Must demonstrate effective oral communication skills and the ability to work cooperatively with all patients and staff. Strong ethics and a high level of personal and professional integrity. Ability to work with and safely handle all PHI and ePHI information per HIPAA regulations and requirements.Preferred Qualifications:

Required at the time of entry:- Diploma or Associates Degree in Medical Assisting preferred.
- Certification through the Certifying Board of the American Association of Medical Assistants (AAMA) preferred.
- Knowledge of basic nursing practices and medical assisting skills and the various types of materials and equipment; knowledge related to otolaryngology care and their application preferred.
- Knowledge of relevant medical terminology.
- Must demonstrate effective written and oral communication skills and the ability to work cooperatively with all patients and staff.
- Ability to instruct and assist patients effectively.
- Ability to perform routine clerical support work.
- Ability to perform routine housekeeping/stocking duties in exam rooms.
- Ability to understand and follow written and verbal instructions of medical care providers.
- Ability to learn and become proficient the practice's EMR system.
- Strong ethics and a high level of personal and professional integrity.
- Proficient in using basic office equipment and possess general computer skills with experience in office programs.
- Ability to work with and safely handle all PHI and ePHI information per HIPAA regulations and requirements.
Pay:
