Job Description

Job Summary:
The Medical Assistant plays a critical role in supporting our hormone, aesthetic, and wellness programs by ensuring accurate documentation, regulatory compliance, and exceptional patient care. This role is detail-driven and compliance-focused, with primary responsibility for HRT workflows, chart auditing, and clinical organization to support providers and leadership. This position requires strong time management skills, organizational skills, discretion, clinical accuracy, and the ability to work independently in a fast-paced medical spa and wellness environment. Primary Responsibilities (These responsibilities represent the minimum expectations; employees are expected to assist wherever needed and strive to exceed expectations.) Hormone Replacement Therapy (HRT) Support Coordinate HRT patient workflows from intake through follow-up Prepare and maintain HRT charts, including: Medical histories Consent forms Lab results Provider notes and signatures Assist with patient education regarding lab timing, follow-up appointments, and medication pickup (within scope) Track HRT schedules, refill timelines, and compliance requirements Communicate with providers regarding missing documentation or follow-up needs Clinical Auditing & Compliance Audit patient charts for completeness, accuracy, and regulatory compliance Ensure all required documentation is present prior to provider review or prescription release Identify gaps in charts, consents, labs, or follow-up notes and escalate appropriately Maintain organized audit systems for: Hormones Peptides Weight loss programs Vitamin injections Support leadership with chart reviews, internal audits, and compliance preparation Administrative & Operational Support Accurately document patient encounters in the EMR Print, organize, and prepare charts for provider signatures Assist with scheduling, follow-up calls, and coordination between departments as needed Support inventory tracking related to hormones, peptides, and supplies Maintain HIPAA compliance and patient confidentiality at all times Team & Culture Expectations Maintain a polished, professional appearance consistent with a luxury medical spa Communicate clearly with providers, leadership, and teammates Be adaptable and proactive in identifying workflow improvements Support overall clinic operations as needed to ensure efficiency and patient satisfaction Qualifications Certified Medical Assistant (CMA or equivalent preferred) Experience with Hormone Replacement Therapy, wellness clinics, or specialty medical practices preferred Strong understanding of clinical documentation and compliance standards High attention to detail and organizational skills Proficient with EMR systems Ability to work independently and manage sensitive information
Schedule & Compensation:
This position requires a regular schedule of Monday through Friday, 9:00 AM to 5:00 PM. Occasional evening and weekend hours may be required to support events, staff training, or business needs.
Pay:
$25.00 per hour
