Job Description

Job Summary :
The Medical Assistant Operations Manager is responsible for the overall smooth functioning of the medical assistant department across all agency clinical sites. The MA Operations Manager also collaborates with multiple organizational roles within WCHC, including the Director of Clinical Operations, Clinical Operations Manager, Clinic Managers, Operations, and CMOs, to ensure service levels are maintained. This role is responsible for training and implementation of clinical workflows and related quality markers as they relate to the Care Team Medical Assistants and MA Supervisors. Site MA Supervisors will report directly to this position. This position is 80% in the field and 20% in the Clinical Operations office. Schedule is full-time, Monday- Friday, with regular travel between our health centers in Guerneville, Occidental and Sebastopol required.
DUTIES:
(may not include all duties assigned) Responsible for overall operational and personnel management of MA Supervisors and MA department. Trains MA Supervisors on new MA workflows and oversees implementation of the workflows at the site level. MA Manager will regularly round at the sites to ensure staff training in the workflows is successful and will perform on-site quality assurance checks Assists Clinic Managers in understanding the CTMA and MA Supervisor responsibilities and meet regularly with them to identify areas of needed support Acts as liaison between MA department and Quality department Acts as back up to MA Supervisor for onboarding and training of new care team medical assistants Conducts initial recruitment screening on all Medical Assistant applicants Manages and orients all externship related activities and placements Assists MA supervisors with corrective action plans for MAs and provides recommendations to the MA Supervisor and HR regarding disciplinary actions Reviews monthly Quality Assurance and Quality Watch and provides feedback to the MA Supervisor Maintains oversight of the immunization program at each site Key contact for VFC and Sutter and works with the sites to provide documentation for audits Participates in weekly MA schedules during times of agency wide shortage. Leads the MA Leadership meeting Assist with quality assurance around proper transmission and management of labs relating to the MA department Develop curriculum and assist with Annual MA Competency evaluations Assists with employee health screenings in collaboration with HR Reviews incident reports monthly and then reports on overall trends at the end of the year Maintains a library of MA training documents and videos Attends pertinent agency leadership meetings to ensure appropriate communication relating to the MA department General project management related to the MA department
Minimum Requirements:
Minimum 3 years of leadership experience in a primary care setting or community health clinic Minimum 5 years of Medical Assistant experience in a primary care setting or community health clinic Completion of M.A. training program including externship OR certification through California Certifying Board for Medical Assistants Certification preferred; leadership positions required to obtain certification within 6 months of hire date Current BLS CPR certificate Reliable transportation
Experience:
Phlebotomy experience desirable Bilingual Spanish/English desirable Project management and systems building experience Management of direct reports in terms of productivity, training gaps, performance
Physical Requirements:
Ability to bend and move arms with sufficient range of motion to complete patient related requirements, hearing required for patient assessments, may need to assist patients onto exam table, able to lift 30 lbs., bend, kneel and twist as needed. Prolonged standing and occasional sitting required. Must be able to perform the essential duties with or without accommodations. Basic office and equipment safety knowledge and practice.
