This role is vital in providing exceptional patient service, managing administrative tasks, and ensuring smooth clinic operations. The ideal candidate will have experience with medical administrative support, familiarity with Electronic Health Record (EHR) systems, and strong communication skills. Bilingual abilities and clinic experience are highly valued to enhance patient interactions and support diverse patient populations. Responsibilities Greet patients warmly and professionally upon arrival, ensuring a positive first impression. Manage patient check-in and check-out processes efficiently using EMR systems such as Epic, Meditech, eClinicalWorks, or Eaglesoft, ModMed. Verify insurance coverage and perform insurance verification procedures accurately. Schedule appointments, coordinate patient flow, and manage the clinic calendar. Maintain accurate medical records and documentation review to ensure compliance with health information management standards. Answer multi-line phone systems with professional phone etiquette; handle inquiries related to appointments, billing, and general clinic information. Assist with intake procedures, including data entry using 10-key typing and maintaining patient files. Support medical office management tasks such as filing, faxing, copying documents, and managing office supplies. Ensure confidentiality of protected health information (PHI) in accordance with HIPAA guidelines. Collaborate with clinical staff to facilitate care plans and ensure seamless communication between patients and providers. Skills Proven experience in medical office administration or front desk roles within clinics or healthcare settings. Strong knowledge of EMR/EHR systems such as Epic, Meditech, Athenahealth, eClinicalWorks or similar platforms. Familiarity with medical billing, coding (CPT, ICD-9/10), insurance verification, and documentation review processes. Excellent computer skills including proficiency in Microsoft Office Suite (Word, Excel), multi-line phone systems, and typing (10-key). Knowledge of medical terminology across various specialties including dental terminology if applicable. Ability to handle sensitive information discreetly while maintaining compliance with HIPAA regulations. Exceptional customer service skills combined with professional phone etiquette. Bilingual abilities are a plus to serve diverse patient populations effectively. Strong organizational skills with attention to detail in clerical tasks such as filing and record keeping. Experience working in a fast-paced environment with excellent time management skills.
