Medical Records Clerk About Ferraro Law Firm, P.A. The Ferraro Law Firm, P.A. is a nationally recognized law firm specializing in catastrophic personal injury, toxic exposure, mesothelioma, and wrongful death litigation. Our team is dedicated to advocating for individuals and families affected by serious injuries and complex medical conditions. We are seeking a detail-oriented and organized Medical Records Clerk to support our litigation team in managing critical medical documentation for active cases. Position Summary The Medical Records Clerk is responsible for the organization, maintenance, review, and tracking of medical records and related documentation for litigation matters. This position requires strong attention to detail, confidentiality, organizational skills, and the ability to work efficiently in a fast-paced legal environment. Familiarity with medical terminology and electronic case management systems is highly preferred. Key Responsibilities Receive, organize, and maintain medical records in both paper and electronic formats. Ensure the accuracy and completeness of client information, including demographics, diagnostic reports, treatment plans, and related documentation to confirm clients' diagnoses. File, categorize, and index medical records according to established protocols for efficient retrieval. Perform data entry of critical information into Litify and records tracking spreadsheets. Process requests for medical records from authorized individuals, including healthcare providers and legal representatives. Participate in periodic audits to assess the accuracy, completeness, and quality of medical records. Identify and correct discrepancies, missing documents, or inconsistencies within records. Maintain a working knowledge of medical terminology to review records and determine clients' exposure histories and medical diagnoses. Coordinate and submit medical records to medical experts for review and analysis. Maintain confidentiality and compliance with all applicable privacy and legal standards. Qualifications High school diploma or equivalent required; associate degree or medical records certification preferred. Prior experience in a law firm, healthcare setting, or medical records department preferred. Familiarity with Litify or other case management systems is a plus. Strong understanding of medical terminology. Excellent organizational skills and attention to detail. Proficiency in Microsoft Office, including Excel and Outlook. Ability to manage multiple tasks and deadlines in a fast-paced environment. Strong written and verbal communication skills. Ability to maintain strict confidentiality. Preferred Skills Experience handling records related to catastrophic injury, toxic tort, or personal injury litigation. Knowledge of HIPAA compliance and medical records procedures. Ability to work independently and collaboratively with attorneys, paralegals, and medical experts.
