Job Description
Job Summary We have a small Chiropractic office established nearly 20 years with both an established patient base and new patients scheduling regularly. A history with the duties listed below is preferred for ease of training but not essential. The candidate should be willing to engage with patients in a friendly manner as they will be greeting in person and over the phone. A good work ethic and ability to get tasks completed without having to be told what to do is essential, once trained. Candidates who may have a need for regular call-offs due to personal reasons should not apply. The candidate should be comfortable with being educated on the techniques and procedures the provider utilizes so they may promote the office to new patients. We are seeking a dedicated and detail-oriented Medical Secretary to provide comprehensive administrative support within a healthcare setting. The ideal candidate will possess strong organizational skills, proficiency with electronic health record (EHR) systems, and a thorough understanding of medical terminology and billing procedures. As a Medical Secretary, you will serve as a vital link between patients, healthcare providers, and insurance companies, ensuring smooth clinic operations and exceptional patient service. This role offers an engaging environment for individuals committed to healthcare administration and patient care excellence. Duties Manage patient scheduling using our EHR system to optimize clinic flow. Verify insurance coverage and perform insurance authorization and verification processes to facilitate accurate billing. Prepare and review medical documentation, including care plans, progress notes, and medical records for accuracy and completeness. Handle patient inquiries via multi-line phone systems with professional phone etiquette while maintaining confidentiality in accordance with HIPAA regulations. Assist with medical billing and coding tasks, including CPT (Current Procedural Terminology), ICD-9/10 (International Classification of Diseases), and ICD coding to ensure proper reimbursement. Maintain accurate filing of medical records, both electronic and paper-based, ensuring compliance with health information management standards. Support front desk operations by greeting patients, managing appointment scheduling, and coordinating intake procedures efficiently. Utilize computer skills in Microsoft Office applications to generate reports, update records, and perform administrative tasks effectively. Conduct insurance verification processes to confirm patient coverage prior to appointments or procedures. Collaborate with clinical staff to facilitate seamless communication regarding patient care plans and documentation review. Requirements Proven experience as a Medical Secretary or in a similar medical administrative support role within a clinical or hospital environment is encouraged but not a necessary prerequisite. Familiarity with EMR (Electronic Medical Records) systems Strong knowledge of medical terminology, ICD-10/ICD-9 coding standards, CPT coding, and medical billing procedures. Understanding of HIPAA regulations to ensure patient confidentiality and data security at all times. Excellent organizational skills with the ability to multitask in a fast-paced setting while maintaining attention to detail. Proficiency in Microsoft Office Suite including Word, Excel (including 10-key typing), and Outlook for documentation and communication purposes. Previous clinic or dental office experience is highly desirable; Strong customer service skills coupled with professional phone etiquette to foster positive patient interactions. Office management experience including appointment scheduling, insurance verification, filing systems, and medical records management is advantageous.
