We are hiring Medical Support Assistants to provide front-line administrative and patient support services within the Patient Support Services Department (PSSD). Patients come from across the United States and abroad to participate in over 1,500 active research protocols. You will be the first face they see and the calm, reassuring voice they hear on the phone. This is an excellent opportunity for candidates with hospital front desk, medical office, hotel front desk, or high-volume customer service experience who want stable, full-time work in a mission-driven federal environment. What You'll Do Customer Service Serve as the in-person and telephone liaison between patients, families, physicians, nurses, and visitors Resolve issues related to missing information, wait times, lost appointments, and tight schedules with empathy and professionalism Keep patients informed of delays with timely, appropriate updates Manage difficult situations with a calm voice, focused on solving the problem Patient Appointment & Reception Process patients upon arrival per department guidelines Notify appropriate care providers of patient arrival and monitor wait times Open and close the reception area; receive and route telephone calls Plan for interpreter services and patient transport Apply accurate patient identification wristbands Respond to medical emergencies per department protocols Scheduling Schedule and cancel patient appointments in the Clinical Center and internal department computerized scheduling systems Prepare daily schedules for providers Admissions Perform registration and admission activities Update patient demographic information in the electronic medical record (EMR) system Arrange patient transport including taxi and ambulance services Patient Travel Vouchers Create patient travel vouchers for air and train travel Process travel reimbursement and patient travel invoices Scan and file supporting documentation Clinical & Operational Support Order X-rays as requested Perform monthly safety inspections Assist in preparing patients for consults as appropriate Maintain patient confidentiality at all times Stock medical, pharmaceutical, and office supplies and forms Acquire meals and snacks for patients as needed Reporting & Administrative Log consults in department tracking systems Enter data, produce, and distribute various reports Document topics from meetings and orientation Collect and enter patient wait and processing time statistics Issue keys and maintain key inventory Teamwork Support team goals and assist other team members as needed Float to other PSSD units within the Clinical Center as assigned Cover for colleagues during absences Required Qualifications High school diploma or GED Basic computer skills, including internet research and data entry Proficiency in Microsoft Office applications (Word, Excel) Ability to operate standard office equipment (computers, copiers, fax machines, scanners, labelers) Strong verbal and written communication skills Ability to maintain strict patient confidentiality in accordance with the Privacy Act of 1974 Reliable transportation to Bethesda, MD Ability to pass a federal background check for NIH facility access (HSPD-12 / PIV credentialing) Ability to commit to a consistent schedule, including reporting to work during inclement weather (MSAs are designated emergent personnel under NIH Clinical Center policy) Preferred Qualifications Prior experience in a hospital, clinic, physician's office, or healthcare setting Experience with electronic medical record (EMR) or appointment scheduling systems Customer service experience in a high-volume or fast-paced environment Workplace Standards Business casual dress (collared shirts, slacks, dresses, professional footwear) Athletic wear, flip-flops, athletic shoes, tee shirts, and shorts are prohibited Tattoos with profanity or offensive imagery must be covered Heavy perfumes, colognes, and scented lotions are not permitted due to patient sensitivities NIH ID badge visible at all times No personal device use (texting, social media, streaming) while on duty Arrival within 10 minutes of scheduled start; 2-hour advance notice required for absences How to Apply Submit your resume through Indeed today.
