Job Description

Position Summary Calaveras Timber Trails Association is seeking a friendly, organized, and service-oriented individual to join our team as a full-time Member Services Coordinator. This position serves as one of the primary points of contact for our membership and plays a vital role in supporting the daily operations, member services, and overall member experience within our private camping and recreational association. The Member Services Coordinator works closely with members, guests, staff, and management to assist with a wide range of administrative services, office operations, park-related processes, and member support functions. The ideal candidate is professional, personable, highly organized, and comfortable working in a fast-paced environment with frequent member interaction. About Calaveras Timber Trails Association Calaveras Timber Trails Association is a private membership camping association located in the Sierra Nevada region near Avery, California. We have approximately 500 members and occupy roughly 134 acres. The association provides recreational camping, amenities, and services to a diverse membership community in a family-friendly mountain setting. Our team takes pride in creating a welcoming atmosphere while supporting the operational needs of the park and enhancing the member experience year-round. Essential Duties and ResponsibilitiesMember Services & Communication Serve as a primary point of contact for members regarding park services, policies, and general inquiries Answer incoming phone calls, emails, and office inquiries in a professional and friendly manner Assist members with registrations, forms, applications, and administrative processes Provide accurate information regarding park amenities, services, events, and operational procedures Maintain positive and professional relationships with members, guests, vendors, and staff Deliver excellent customer service while handling member concerns and requests professionally Office & Administrative Support Perform general office duties including filing, record keeping, data entry, scanning, and document management Maintain organized digital and physical filing systems Assist with preparation of notices, forms, correspondence, newsletters, and member communications Monitor and respond to emails using Outlook and related office systems Support daily office operations and administrative projects as assigned Computer & System Use Utilize Microsoft Outlook, Word, Excel, email systems, and other office software platforms Maintain accurate member records and internal tracking systems Assist with data organization, reporting, and document preparation Store & Point of Sale Operations Operate the register and point-of-sale system for the association's small member store Process member purchases, payments, and receipts accurately Assist with light inventory organization and stocking as needed Provide friendly customer service to members and guests General Support Functions Assist management and other departments with operational and member service needs Help maintain a clean, organized, and welcoming office environment Maintain professionalism, confidentiality, and a positive attitude while handling member interactions and sensitive matters
Schedule & Employment Information Full-Time Position Standard Schedule:
8:00 AM - 5:00 PM Weekends and holidays are required Work Environment This position is located within a beautiful private camping and recreational association in the Sierra Nevada mountains.
