Job Description

Multi-Department Administrative Assistant St. Peter Metal Works is seeking a highly organized and dependable Multi-Department Administrative Assistant to provide administrative and operational support across multiple business functions, including accounts payable, accounts receivable, timekeeping support, customer service, billing, and operational systems. The ideal candidate will be flexible, detail-oriented, and capable of adapting to changing business needs in a fast-paced environment.

This role is designed to assist departments with coverage needs, workload demands, and daily office functions as needed. When departmental assistance is not required, this position will work directly with and provide administrative support to the Office Manager. Areas of Support Accounts Payable Support
  • Enter and process vendor bills
  • Complete vendor credit applications
  • Set up and maintain vendor accounts
  • Assist with payment processing and record keeping
  • Support general accounts payable functions Accounts Receivable & Billing Support
  • Process invoices and customer billing
  • Assist with estimates and customer account setup
  • Receive and process customer payments
  • Support general accounts receivable functions Timekeeping Support
  • Verify and process employee time sheets
  • Verify and process contractor payments
  • Maintain accurate timekeeping records and tracking Reception & Front Office Support
  • Answer incoming phone calls and direct appropriately
  • Greet and assist customers and visitors
  • Provide general office and administrative support
  • Assist with daily front office operations Operations & Administrative Support
  • Support the Office Manager with administrative tasks and daily priorities
  • Provide cross-functional support based on operational needs and workload demands Qualifications
  • Previous administrative or office experience
  • Experience with QuickBooks
  • Strong organizational and multitasking skills
  • Excellent communication and customer service skills
  • Ability to work independently and prioritize tasks
  • Detail-oriented with strong problem-solving abilities
  • Experience in payroll, billing, AP/AR, or office operations Schedule
  • Full-Time
  • Monday-Friday 8:00AM - 5:00
PM Pay:
$18.00 - $25.00 per hour
