Position Summary The Occupational Therapy Program Coordinator oversees the planning, implementation, and supervision of occupational therapy services for individuals with intellectual and developmental disabilities (IDD). This position ensures that therapy programs are clinically effective, person-centered, and compliant with all relevant regulatory and professional standards. The coordinator provides strategic direction, clinical oversight, and staff mentorship, while also facilitating collaboration across interdisciplinary teams to promote functional independence, safety, and quality of life for individuals served. Position Scope This role operates at both a clinical and programmatic level, overseeing occupational therapy service delivery across home and community-based settings. The Occupational Therapy Program Coordinator is responsible for program development, staff supervision, quality assurance, and interdisciplinary collaboration. The position supports organizational growth by establishing standardized processes, ensuring regulatory compliance, and driving continuous improvement in therapy outcomes. Key Responsibilities Direct and manage the daily operations of the occupational therapy program to ensure timely, efficient, and compliant service delivery; develop, implement, and continuously improve policies, procedures, workflows, referral systems, documentation standards, and outcome measures in alignment with state and federal guidelines; supervise, mentor, and evaluate a team of Occupational Therapists (OTs) and Certified Occupational Therapy Assistants (COTAs), fostering professional development, accountability, and high-quality clinical performance; coordinate therapy schedules and staffing to meet individual treatment needs; implement and oversee individualized treatment plans addressing self-care, motor function, sensory processing, and adaptive behaviors, while providing direct therapy services as needed in home and community-based settings; review and monitor treatment plans, progress notes, and clinical documentation to ensure accuracy, timeliness, and regulatory compliance; serve as a clinical escalation point for complex cases, offering expert guidance and intervention strategies; lead quality assurance initiatives, including audits, outcome tracking, and continuous improvement efforts; collaborate with interdisciplinary teams—including Physical Therapists (PTs), Speech-Language Pathologists (SLPs), nurses, supports coordinators, and physicians—to ensure coordinated, person-centered care; communicate effectively with individuals and families, providing education and support to reinforce therapeutic outcomes; support recruitment, onboarding, and training of therapy staff; contribute to program expansion, policy development, audits, accreditation processes, and community partnerships; and apply strong leadership, organizational, and problem-solving skills to manage multiple priorities, drive program development, and maintain excellence in service delivery within IDD and waiver-funded environments. Regulatory Frameworks Pennsylvania Office of Developmental Programs (ODP) regulations (55 Pa. Code Chapter 6100) Centers for Medicare and Medicaid Services (CMS) Home and Community-Based Services (HCBS) Final Rule Medicaid and waiver-funded service requirements HIPAA (Health Insurance Portability and Accountability Act) NBCOT professional standards and occupational therapy practice guidelines Confidentiality Maintains strict confidentiality of participant, employee, and organizational information in accordance with HIPAA and company policies. Ensures all documentation, communication, and data handling practices protect sensitive information and uphold privacy standards. Documentation Requirements Complete and review therapy evaluations, treatment plans, and progress notes Ensure timely and accurate documentation in electronic systems Maintain compliance with payer, state, and organizational documentation standards Participate in audits and ensure corrective actions are implemented when needed Track and report program metrics and outcomes Certifications Current Occupational Therapist Registered/Licensed (OTR/L) or Certified Occupational Therapy Assistant (COTA/L) license in Pennsylvania NBCOT certification required CPR/First Aid certification preferred Education Degree in Occupational Therapy from an accredited institution.Licensure and Certification:
Current Occupational Therapist (OTR/L) or CertifiedOccupational Therapist (COTA/L) License in the State of Pennsylvania. Successful completion of the NBCOT (National Board for Certification in Occupational Therapy) examination. Experience Minimum 2 years of professional experience as a licensed OTR/L or COTA/L Prior supervisory or program coordination experience preferred. Demonstrated expertise in treatment planning, clinical documentation, and interdisciplinary collaboration. Technical Skills Proficiency in electronic health records (EHR) systems and documentation platforms Strong knowledge of occupational therapy assessment tools and intervention techniques Microsoft Office Suite (Word, Excel, Outlook) Data tracking, reporting, and basic analytics skills Familiarity with scheduling and workforce management systems Languages English required. Additional languages are a plus, especially those spoken within the communities served. Driver License A valid driver license is required. Travel Requirement Requires occasional travel to clients' home and community settings, progress monitoring, community events and meetings. Involves collaboration with community partners and participation in interdisciplinary planning sessions.
