Job Description

At Shannon Side Welding, we take pride in our commitment to quality, safety, accountability, and continuous learning. We are seeking a highly organized, detail-oriented, and tech-savvy Office Assistant to support our growing welding and fabrication operations. This position plays an important role in keeping the office organized, efficient, and responsive. The ideal candidate will be comfortable working with both hard-copy and digital records, managing administrative tasks, using office technology, supporting QuickBooks Online, and communicating professionally with team members, vendors, customers, and business partners. This is a non-exempt hourly position. The employee will be eligible for overtime in accordance with California law. Responsibilities Provide day-to-day administrative support for office and field operations Manage hard-copy files, digital files, cloud storage, and electronic records Enter, organize, and maintain accurate information in databases and office systems Assist with QuickBooks Online entries, records, invoices, payments, vendor information, and related administrative tasks Prepare, scan, organize, and manage PDFs and other electronic documents Use Microsoft Office Suite, including Excel, Word, and Teams Use Google Workspace, including Docs, Sheets, Drive, and shared folders Manage email correspondence in a professional and timely manner Assist with scheduling, calendar management, and coordination of meetings or appointments Support vendor portals, customer management systems, and other online platforms as needed Organize spreadsheets, enter data, use basic formulas, and maintain accurate records Operate and troubleshoot basic office equipment, including printers, scanners, copiers, and dual-monitor workstations Help maintain office organization, supplies, documentation, and workflow Support communication between office staff, field teams, vendors, and customers Perform other administrative and office support duties as assigned Qualifications Strong computer proficiency and ability to learn new software quickly Experience with Microsoft Office Suite, including Excel, Word, and Teams Familiarity with Google Workspace, including Docs, Sheets, and Drive Experience with QuickBooks Online preferred Strong data entry and database management skills Comfortable managing both hard-copy files and digital records Experience with PDFs, scanning software, printers, copiers, and general office technology Professional written and verbal communication skills Basic spreadsheet skills, including formulas, formatting, and data organization Ability to troubleshoot minor office technology issues Experience with scheduling software and calendar management Familiarity with online portals, vendor systems, or customer management software preferred Comfortable working across multiple computer systems and dual-monitor setups Fast and accurate typing skills Strong attention to detail when entering, reviewing, and organizing information Ability to manage multiple priorities and follow through on tasks Reliable, organized, professional, and able to maintain confidentiality Ideal Candidate The ideal candidate is someone who enjoys keeping an office organized and running smoothly. This person should be dependable, accurate, comfortable with technology, and able to take ownership of administrative details. We are looking for someone who can work independently, learn new systems quickly, and support a busy team with professionalism and care.
Compensation Pay range:
$35.00-$40.00 per hour, depending on experience Compensation will be based on skills, experience, software proficiency, QuickBooks Online knowledge, office operations experience, and overall ability to support the needs of the business.
