Job Overview We are seeking a dynamic and highly organized Office Administrative Assistant to join our team! Duties Manage front desk responsibilities, greeting visitors and clients with professionalism and warmth Operate multi-line phone systems, directing calls efficiently and courteously using proper phone etiquette Maintain organized filing systems, both physical and digital, including data entry and document proofreading Schedule appointments, manage calendars, and coordinate meetings using Google Workspace and Microsoft Office tools Handle correspondence, emails, and inquiries promptly while providing excellent customer support Assist with bookkeeping tasks such as invoicing, expense tracking, and basic QuickBooks data entry Support office management activities including supply inventory, filing systems, and general administrative tasks Circulation Desk Other Duties as assigned Experience Proven office experience with strong clerical skills in a professional environment Familiarity with QuickBooks accounting software and Google Workspace applications Experience managing multi-line phone systems and practicing effective phone etiquette Bilingual abilities are highly desirable to serve diverse client needs effectively Strong organizational skills with the ability to prioritize tasks efficiently in a busy setting Proficiency in Microsoft Office (Word, Excel, Outlook) along with excellent typing speed and accuracy Previous roles as a receptionist, personal assistant, or medical/dental receptionist are advantageous Demonstrated customer service expertise with a friendly, professional demeanor Knowledge of office management procedures including filing, proofreading, data entry, and calendar management Join us to be part of a vibrant team dedicated to excellence!
