  • Full-time Service Specialists recruiting agency is seeking a highly organized Office Administrator for a successful firm based in Ridgeland.
This individual will assist with daily operations and ensuring that the office runs smoothly. The Office Administrator will be the first point of contact for visitors and clients, manage administrative tasks with precision, and support various departments to achieve their goals. Your proactive approach and exceptional organizational skills will help foster a productive and welcoming environment for everyone. Responsibilities Serve as the front desk ambassador, greeting visitors, clients, and vendors with professionalism and warmth Manage multi-line phone systems, directing calls accurately and courteously while maintaining excellent phone etiquette Oversee calendar management and appointment scheduling for staff and executives using tools like Google Workspace and Microsoft Office Handle data entry, filing, and document proofreading to ensure accuracy and organization across all records Support bookkeeping activities using QuickBooks or similar accounting software to assist with invoicing, expense tracking, and financial record keeping Coordinate office supplies procurement, inventory management, and maintenance requests to keep the workspace fully operational Provide exceptional customer service by responding promptly to inquiries via phone or email, offering support or redirecting as needed Assist with clerical tasks such as typing correspondence, preparing reports, and managing confidential information with discretion Skills Proven experience in office management or administrative roles with strong organizational skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications Excellent computer literacy including data entry, document proofreading, and file management Familiarity with QuickBooks or other bookkeeping software is a plus Strong multi-tasking abilities with effective time management skills in fast-paced environments Exceptional customer service skills coupled with professional phone etiquette for handling multi-line phone systems Bilingual capabilities are highly desirable to serve diverse client needs effectively Previous experience as a dental or medical receptionist or personal assistant is advantageous but not required Knowledge of clerical procedures such as filing systems, calendar management, and proofreading documents #IND1
