Job Description

Office Administrator 3612 Route 9, Cold Spring, NY 10516 $45,000 a year - Full-time $45,000 a year - Full-time Jaymark Jewelers is a 4 generation family owned retail store specializing in gold and platinum fine jewelry. Our clients quickly become our friends as we create jewelry to mark the moments that make their lives special. We are seeking a dynamic, energetic, self motivated individual to join our team.
Overview:
We are looking for an Office Manager to organize and complete administration duties and office procedures. Your role is to create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, bookkeeping, data entry and customer service.
Responsibilities:
  • Manage day-to-day administrative activities, such as scheduling appointments for clients, managing inbound phone calls, webchats, and emails.
  • Maintain and update inventory records of clients and vendors using our POS system.
  • Maintain bookkeeping via QuickBooks; entering and paying vendor bills, daily receipts and deposits, sales tax reporting, reconciliation, ect.
  • Oversee inventory management, including maintaining stock levels ordering jewelry and office supplies as needed.
  • Provide support to the sales team by managing customer inquiries, resolving issues, and maintaining a high level of customer satisfaction.
  • Create the monthly company news letter.
  • Handle other administrative tasks and projects as assigned.
Qualifications:
  • Proven experience as an office manager or in a similar role.
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
  • Strong time management and organizational skills, with the ability to prioritize tasks effectively.
  • Exceptional communication and interpersonal skills.
  • Detail-oriented, with a high level of accuracy in data entry and record keeping.
  • Ability to handle confidential information with discretion and integrity.
  • Knowledge of customer service principles and practices.
  • Familiarity with jewelry or luxury retail industries preferred, but not required.
  • Must be highly proficient in Quickbooks.
  • Basic Math skills This is an in person only position.
You will be in the office Tuesday Through Saturday . There is no opportunity for remote work. Please include a full resume with your application.
