Job Description

Job Overview The Office Administrator (OA) is the on‑site operational control point in NEPS's outsourced finance model. This role ensures the completeness, timeliness, and integrity of source data; performs program‑level controls that must occur on site; and enables efficient, accurate accounting, reporting, audits, and system conversion by the CLA Recurring Team. The Office Administrator does not perform accounting entries, reconciliations, or financial judgment and does not own accounting systems. Core Responsibilities Five residential homes (three individuals each) Document results and escalate discrepancies Retain documentation and confirmations for audit support Control and verification role — not accounting entry 3. Banking Support (Administrative) Prepare and submit cash deposits to the bank Coordinate transfers from operating account to CLA for grocery reimbursements Retain confirmations and notify CLA Recurring for posting and reconciliation 4. DDS Attendance Entry & Validation Enter DDS attendance into the DDS portal for all NEPS programs Verify attendance against supporting documentation to ensure billing accuracy Maintain organized DDS attendance backup for reporting and audits 5. Payroll & HR Coordination (Administrative) •Coordinate payroll inputs, approvals, and exception tracking with HR and CLA Recurring Maintain payroll documentation by pay period and fiscal year Serve as payroll backup support in the absence of the HR Manager. 6. Audit & Compliance Support Support financial, funder, and workers' compensation audits by locating and transmitting requested documentation Coordinate document requests between ED, HR, and CLA Recurring 7. Sage100 → QBO Conversion Support Serve as on‑site continuity anchor during accounting system conversion Organize historical documentation to support clean conversion Identify and escalate data‑flow issues early to protect reporting and compliance Explicit Role Boundaries The Office Administrator does not : Enter transactions into Sage100 or QBO Perform bank reconciliations Prepare financial statements or DDS reports Interface directly with auditors on accounting matters
Pay:
$23.00 - $24.00 per hour
