Job Description

Job Summary We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will be the backbone of our daily operations, ensuring the office runs smoothly and efficiently. Your energetic approach and attention to detail will support our team by managing administrative tasks, coordinating communications, and providing exceptional customer service. Responsibilities Manage front desk operations, including greeting visitors and handling multi-line phone systems with professionalism and courtesy Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks for bookkeeping and record keeping Support calendar management and scheduling for team meetings, appointments, and events with excellent time management skills Provide exceptional customer service by addressing inquiries via phone, email, or in person with friendly and professional phone etiquette Assist with clerical duties such as proofreading documents, preparing reports, and managing correspondence Handle office supplies inventory, order necessary items promptly, and maintain a clean, organized workspace Produce marketing flyers Experience Proven office management or administrative experience in a fast-paced environment Strong computer literacy including proficiency in Microsoft Office Suite (Word, Excel, Outlook), Google Workspace (Gmail, Calendar), and familiarity with QuickBooks or similar bookkeeping software Excellent organizational skills with the ability to prioritize tasks effectively Experience working at a front desk or as a receptionist in medical or dental offices is highly desirable Bilingual abilities are a plus to support diverse client needs Demonstrated customer service skills with a friendly demeanor and professional phone etiquette Previous experience with data entry, filing systems, proofreading documents, and calendar management is preferred Preferably has worked for a previous Real Estate Development firm.
