Job Description

Overview We are seeking a dynamic and organized Office Administrator to join our team and ensure the smooth operation of daily office functions. This vital role involves managing administrative tasks, supporting team members, and maintaining an efficient work environment. The ideal candidate will bring a proactive attitude, excellent organizational skills, and a passion for delivering exceptional customer support. As an Office Administrator, you will be the backbone of our office operations, fostering a professional and welcoming atmosphere that promotes productivity and teamwork. Duties Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette Maintain organized filing systems, both physical and digital, including data entry and document proofreading Support bookkeeping tasks using QuickBooks or similar accounting software to track expenses and invoices Assist with clerical duties such as photocopying, faxing, mailing, and preparing correspondence Provide exceptional customer service by addressing inquiries promptly and supporting clients or patients in person or over the phone Organize office supplies inventory, order necessary materials, and ensure the workspace remains tidy and functional Support administrative projects including report preparation, record keeping, and data management to enhance office efficiency Assist with scheduling, tracking, and administrative support tasks Work closely with production and management teams to support operational efficiency Monitor inventory levels and notify management of supply needs Experience Proven office management experience with a strong background in administrative support roles Familiarity with front desk operations, and office software such as Microsoft Office Suite (Word, Excel, PowerPoint) Experience with bookkeeping or financial record keeping using QuickBooks or similar platforms Demonstrated organizational skills with the ability to prioritize tasks efficiently Previous clerical experience including data entry, filing, proofreading, and calendar management Ability to work independently and maintain accuracy in a fast-paced environment Join us as an Office Administrator to play a crucial role in creating a productive workplace where professionalism meets warmth.
