Job Description
Overview We are seeking a dynamic and highly organized Office Administrator to join our team! This vital role ensures the smooth and efficient operation of our office environment, providing exceptional administrative support and customer service. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, with the ability to manage multiple tasks seamlessly. As an Office Administrator, you will be the backbone of our daily operations, fostering a welcoming atmosphere for clients and colleagues alike. Duties Manage front desk responsibilities, greeting visitors and directing them appropriately with professional phone etiquette Operate multi-line phone systems efficiently, handling inquiries and routing calls accurately Perform data entry, filing, and document proofreading to maintain organized records and ensure accuracy Utilize Microsoft Office Suite tools for correspondence, scheduling, and report creation Oversee calendar management and appointment scheduling for staff and executives Support bookkeeping tasks using QuickBooks or similar accounting software for invoicing and expense tracking Provide customer support via phone, email, or in person, addressing inquiries promptly and courteously Assist with office management duties such as supply ordering, maintaining cleanliness, and ensuring equipment functionality Requirements Proven experience in office administration or clerical roles with strong organizational skills Proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications Familiarity with QuickBooks or other bookkeeping software is preferred Excellent written and verbal communication skills; bilingual abilities are a plus Strong time management skills with the ability to prioritize tasks effectively Previous experience as a receptionist or medical/dental receptionist is advantageous Demonstrated customer service excellence with professional phone etiquette Ability to handle multiple responsibilities simultaneously in a fast-paced environment Personal assistant experience or experience managing calendars enhances suitability for this role Knowledge of office management best practices and general clerical procedures Join us as an Office Administrator and become an essential part of a dedicated team committed to operational excellence!
