Job Description

Overview We are seeking a dynamic and organized Office Assistant to join our team and help keep our daily operations running smoothly. As an Office Assistant, you will be the backbone of our office, ensuring efficient communication, organization, and customer service at all times. Your positive attitude and proactive approach will contribute significantly to a welcoming and productive workplace. Duties Manage front desk responsibilities, including greeting visitors, answering multi-line phone systems, and directing calls with professional phone etiquette Handle data entry tasks using computer skills, including updating records in QuickBooks and maintaining organized filing systems Support office management by coordinating calendar schedules, booking appointments, and managing calendar updates for staff and executives Assist with clerical duties such as proofreading documents, preparing correspondence, and maintaining accurate filing systems Provide exceptional customer support by addressing inquiries promptly and professionally via phone or email Perform general office tasks such as photocopying, scanning, organizing documents, and managing office supplies inventory Support bookkeeping activities including basic data entry in QuickBooks and tracking expenses or invoices Experience Previous office experience demonstrating strong organizational skills and proficiency with Microsoft Office Suite (Word, Excel, PowerPoint) Familiarity with multi-line phone systems and excellent phone etiquette skills Bilingual abilities are highly desirable to effectively communicate with diverse clients and team members Experience with Google Workspace (Gmail, Calendar, Drive) for seamless collaboration and document management Clerical or administrative experience in a professional setting that highlights attention to detail and proofreading skills Knowledge of office management procedures including filing systems, data entry, and calendar management Personal assistant or medical/dental receptionist experience is a plus for understanding specialized client interactions Join us as an Office Assistant to be a vital part of a vibrant team dedicated to excellence!
