Job Description

Job Overview We are seeking a dependable and detail-oriented Office Assistant to join our team! This role is essential to the daily operations of our business, with a primary focus on invoicing, bill payment processing, customer communication, and general administrative support. The ideal candidate will be organized, proactive, and comfortable handling a variety of office responsibilities in a fast-paced environment. This position offers the opportunity to play an important role in supporting both our customers and internal operations through strong communication, accuracy, and problem-solving skills. Responsibilities Prepare and process customer invoices accurately and in a timely manner (Accounts Receivable) Process vendor invoices and assist with bill payments and expense tracking (Accounts Payable) Answer incoming phone calls professionally and assist customers with product pricing, availability, and general inquiries Provide excellent customer service by responding promptly to requests via phone and email Perform data entry and maintain accurate customer, vendor, and financial records Conduct ad hoc research and assist with special projects as needed Utilize QuickBooks or similar accounting software for invoicing, payment processing, and recordkeeping Assist with filing, document organization, and general office administrative tasks Support office operations by maintaining supplies, coordinating paperwork, and helping ensure efficient workflow Communicate with customers, vendors, and internal team members to resolve questions and gather information Skills & Qualifications Previous experience in an administrative, accounting support, or office assistant role preferred Familiarity with accounts receivable, accounts payable, invoicing, and general bookkeeping processes Experience with QuickBooks or similar accounting software is highly preferred Strong computer skills, including Microsoft Office (Excel, Word, Outlook) and Google Workspace Excellent communication and customer service skills, both over the phone and through email Strong attention to detail and ability to manage multiple tasks accurately and efficiently Professional phone etiquette and ability to interact positively with customers and vendors Self-motivated, organized, and dependable with strong problem-solving abilities Ability to work independently while supporting a collaborative team environment Why Join Us?
