Job Description
Job Summary We are seeking a dynamic and organized Office Assistant to join our team! In this vital role, you will be the backbone of our daily operations, ensuring the office runs smoothly and efficiently. Your energetic approach and attention to detail will support administrative functions, manage front desk responsibilities, and provide exceptional customer service. Bilingual abilities and experience with office software are highly valued! Duties Greet visitors, clients, and staff with professionalism and enthusiasm at the front desk Manage multi-line phone systems, answer inquiries, and direct calls appropriately Perform data entry, filing, and maintain organized records using Microsoft Office, Google Workspace, and other office tools Assist with calendar management, appointment scheduling, and meeting coordination Support bookkeeping tasks using QuickBooks or similar accounting software Handle customer support requests with excellent phone etiquette and problem-solving skills Provide clerical support such as proofreading documents, managing correspondence, and supporting office management tasks Requirements Proven experience in an office environment or administrative role with strong organizational skills Proficiency in computer literacy including Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Familiarity with multi-line phone systems, data entry, filing systems, and basic bookkeeping (QuickBooks preferred) Excellent communication skills; bilingual abilities are a plus Strong time management skills with the ability to prioritize tasks efficiently Previous experience as a receptionist (medical or dental), personal assistant, or in customer service is advantageous Demonstrated professionalism in phone etiquette and customer interactions Ability to handle clerical duties such as proofreading, calendar management, and document organization Join us to be part of a vibrant team that values proactive problem-solving, exceptional organizational skills, and a positive attitude!
