Office Assistant Lester, PA 19029 $25 an hour - Contract $25 an hour - Contract Job Overview We are seeking a dynamic and organized Office Assistant to join our team! This vital role ensures the smooth operation of daily office functions, providing exceptional support to staff and visitors alike. As an Office Assistant, you will be the friendly face at the front desk, manage administrative tasks with efficiency, and maintain a well-organized workspace. Your proactive attitude and strong organizational skills will help foster a productive and welcoming environment for everyone. Responsibilities Greet visitors, clients, and vendors with professionalism and warmth at the front desk. Answer multi-line phone systems promptly, directing calls accurately and courteously. Manage calendar appointments, schedule meetings, and coordinate office events. Perform data entry, filing, and document proofreading to ensure accuracy and organization. Utilize Microsoft Office Suite, Google Workspace, and other computer skills to prepare reports, correspondence, and presentations. Handle clerical duties such as photocopying, faxing, mailing, and maintaining office supplies inventory. Support bookkeeping tasks using QuickBooks or similar accounting software when needed. Assist with office management tasks including organizing files, managing office equipment, and ensuring a tidy workspace. Provide excellent customer service by supporting clients and team members with administrative needs. Maintain confidentiality of sensitive information while demonstrating strong phone etiquette and organizational skills. Requirements Proven experience in an office environment or administrative role with excellent clerical skills. Strong computer literacy including proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and data entry tools. Experience with multi-line phone systems, calendar management, and customer support is essential. Bilingual abilities are highly desirable to serve diverse client needs effectively. Knowledge of QuickBooks or bookkeeping experience is a plus. Exceptional organizational skills with keen attention to detail for proofreading and filing tasks. Ability to manage time efficiently while juggling multiple responsibilities in a fast-paced setting. Previous experience as a receptionist or personal assistant is advantageous; familiarity with medical or dental receptionist duties is a bonus.
