We are looking for a responsible Office Assistant to join our team 2-3 days a week (10-24 hours). Duties of the office assistant include a variety of administrative and clerical duties to support office staff and management. They are essential for maintaining organization, data entry of expenses, and assisting with day-to-day operations in a professional office environment. If you have previous experience and like working in administration in a small office, we'd like to meet you. Willing to train the right candidate.
Key Responsibilities Clerical Tasks:
Organize and maintain files, update Accounts Payable documents: expense receipts and bills.
Office Maintenance:
Monitor office supplies, maintain equipment, and ensure common areas are organized.
Customer Service:
Greet clients and visitors, address inquiries, and provide professional assistance.
Administrative Support:
Answer phone calls, respond to emails, manage calendars, schedule appointments, and assist with travel arrangements.
Project Assistance:
Support project coordination and assist with documentation or event planning.
Required Skills and Qualifications Education:
High school diploma or equivalent; additional certification in office administration is a plus.
Technical Skills:
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), basic knowledge of office equipment, and familiarity with accounting software (QuickBooks) but can train the right individual.
Organizational Skills:
Ability to manage files, prioritize tasks, and maintain a structured workflow.
Communication Skills:
Strong verbal and written communication for interacting with staff, clients, and vendors.
Time Management:
Capable of handling multiple tasks efficiently in a fast-paced environment.
Customer Service:
Professional and courteous approach to client interactions. Work Environment Typically based at biota HQ, with occasional off-site meetings or events. Reports directly to the Office Manager. Part-time hours may be flexible but require consistent professionalism and reliability. Pay based on experience, $23.00-$26.00/hour.
