Position Overview:
We are seeking a motivated and detail-oriented bilingual individual to join our team as an Entry-Level Office Assistant. In this role, you will play a crucial part in supporting the efficient functioning of our law firm by assisting with various administrative tasks, including running errands, filing documents, completing tasks, and computer work. As a member of our team, you will have the opportunity to gain valuable experience in a professional legal environment.
Duties:
Provide administrative support to ensure efficient operation of the office Run errands as required, including trips to the courthouse, client meetings, and other local destinations (a car and valid driver's license are essential). Answer and direct phone calls, take messages, and respond to inquiries Manage and maintain schedules, appointments, and calendars Coordinate and schedule meetings, conferences, and travel arrangements Prepare and distribute correspondence, memos, letters, faxes, and forms Assist in the preparation of reports, presentations, and data analysis Perform general clerical duties including photocopying, faxing, mailing, and filing Assist with organizing and maintaining office common areas
Qualifications:
Proven experience as an administrative assistant or relevant role Proficient in using Google Suite (Docs, Sheets, Slides) Strong organizational skills with the ability to multitask and prioritize tasks Excellent written and verbal communication skills Attention to detail and problem-solving skills Strong computer literacy with knowledge of MS Office applications (Word, Excel, PowerPoint) Professional phone etiquette and customer support experience is a plus High school diploma or equivalent A valid driver's license and access to a reliable vehicle. Strong organizational and time-management skills. Excellent attention to detail and accuracy. Proficiency in basic computer applications (Microsoft Office Suite, email, and internet). Bilingual proficiency (English and Spanish) is nonnegotiable Professional and punctual demeanor. Ability to maintain confidentiality and handle sensitive information with discretion.
