Fort HealthCare is a patient-centered hospital and healthcare system serving individuals, businesses and families in Jefferson, Dane, and Walworth Counties. We are seeking an Office Associate-Patient Leave & Surgery Scheduling Specialist to join our Orthopedic Clinic team.

The Office Associate - Patient Leave & Surgery Scheduling Specialist is responsible for general office functions which support the front desk, in addition to completing all required patient paperwork & coordinating leave requirements. This position works collaboratively with appropriate departments, coordinates the surgery schedule and schedules pre-operative physicals and post-operative care for patients.Responsibilities of this position include:
Completes all paperwork for patients (Worker's Compensation, Disability, FMLA) forms with meticulous attention to detail. Coordinates leave requirements with patients and insurance companies; reviews paperwork with surgeon; sends completed forms to insurance company, patient, employers, etc. Monitors Worker's Compensation surgical approval status; scans paperwork into patient's chart. Forwards office visit notes to insurance companies ensuring that compliance with HIPAA requirements are followed. Enters forwarded office visit notes, into EMR. Schedules, cancels, and coordinates inpatient and outpatient procedures. Provides both patients and off-site locations with all necessary paperwork, supplies and information related to scheduled procedures and appointments. Coordinates surgery schedule by collaborating with the Surgical Team and Surgical Coordinator. Coordinates pre-operative physicals, Physical Therapy appointments, Joint Camp, return appointments and post-op care by working with various FHC Departments as well as outside healthcare facilities. Keeps all documentation and protocols for surgeries current and correct including the ability to coordinate appropriate equipment sheets with matching surgery. Provides seamless care to the patient by communicating effectively with staff, patient, and providers, following the RESPECT values. Greets all persons entering the department and assists based on their needs. Utilizes available resources to best meet each person's needs. Manages the waiting room and updates patients on any delays. Controls the department communication systems by communicating effectively and professionally managing all aspects of the various programs and technology used by the department. Accurately registers patients and reviews insurance information to verify and obtain current eligibility. Collects payments on accounts and insurance co-payments. Creates receipts, reconciles daily collections, and maintains cash drawer according to business office protocols. Maintains and monitors the computerized appointment schedule throughout the continuum of care. Consistently demonstrates professional poise and presence when interacting with internal and external customers, as well as staff. Professionalism is demonstrated through behavior, communication and attire. Processes proper orders per department specific guidelines. May complete insurance authorization/reauthorization as appropriate for patients. May complete retails sales, including cash handling and handling inventory for retail sales.Requirements of this position include:
High School Diploma or GED required Associated Degree preferred 2-5 years of medical office & customer service experience. Experience with insurance information required Scheduling experience preferred Medical terminology and an understanding of anatomy preferred Valid WI Driver's License; BLS Certification requiredBenefits:
