Job Description

Job Overview We are seeking a highly organized and detail-oriented Office Clerk/Scheduler to join our team. This role is essential in maintaining smooth office operations, managing appointments, and providing exceptional customer service. The ideal candidate will possess strong administrative skills, proficiency with office software, and the ability to handle multiple tasks efficiently. Bilingual abilities and experience in office management or medical/dental reception are a plus. Duties Manage front desk operations, including greeting visitors and answering multi-line phone systems with professionalism and courtesy Schedule appointments and coordinate calendars using Microsoft Office, Google Workspace, and specialized scheduling software Perform data entry, filing, and document proofreading to ensure accuracy and organization Handle customer inquiries via phone, email, or in person, providing excellent customer support and support for administrative tasks Maintain office supplies inventory and assist with bookkeeping using QuickBooks or similar accounting software Support office management functions such as calendar management, document preparation, and record keeping Assist with clerical tasks including typing, proofreading, and maintaining organized files Provide bilingual support to accommodate diverse clients or staff members as needed Skills Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace applications Strong organizational skills with the ability to prioritize tasks effectively Excellent phone etiquette and customer service skills for front desk responsibilities Experience with multi-line phone systems and calendar management tools Knowledge of QuickBooks or bookkeeping experience is a plus Bilingual abilities are preferred to enhance communication with diverse clients and staff Office management or administrative experience is highly desirable Strong typing skills with attention to detail for data entry and proofreading tasks Ability to handle clerical duties such as filing, data entry, and document organization efficiently Familiarity with medical or dental receptionist duties is advantageous but not required Excellent time management skills to balance multiple responsibilities in a fast-paced environment This position provides an engaging opportunity for candidates who thrive in administrative roles requiring multitasking, professionalism, and excellent communication skills.
