Job Description

Office Coordinator for a Manufactured Housing Community
JOB SUMMARY
The Office Coordinator provides essential administrative and operational support to the community management team of the manufactured housing portfolio. Reporting directly to the Community Manager, this role serves as the first point of contact for residents, vendors, and visitors, ensuring smooth front office operations while supporting leasing administration, vendor coordination, and community engagement.
KEY RESPONSIBILITIES
  • Serve as the primary point of contact for incoming calls, walk-in visitors, and resident inquiries, maintaining a professional and welcoming office environment.
  • Assist with the preparation, processing, and filing of lease agreements, renewals, move-in/move-out documentation, and resident files in accordance with company policy.
  • Track lease expirations, renewal timelines, and occupancy changes, providing updates to the Community Manager as needed.
  • Coordinate vendor and contractor access, maintain vendor logs and insurance certificates, and verify invoices against approved work orders prior to submission.
  • Monitor and maintain office supply inventory, coordinate routine equipment maintenance, and support cleanliness and organization of the office and common areas.
  • Assist in planning community events, distributing resident communications, and supporting move-in orientations.
  • Support month-end administrative tasks, maintain community activity logs and incident reports, and perform general duties including data entry, filing, and scheduling.
QUALIFICATIONS
  • High school diploma or equivalent required; an Associate's degree or coursework in Business Administration, Property Management, or a related field is preferred.
  • 2 years of administrative, office coordination, or customer service experience, preferably in property management or a related industry.
  • Proficiency in property management software (e.g., Rent Manager, Yardi, AppFolio) and Microsoft Office Suite.
  • Strong organizational and communication skills with a professional, resident-focused demeanor.
  • Detail-oriented with a high degree of accuracy in handling resident files, lease documentation, and administrative records.
  • High ethical standards and discretion in handling confidential resident information and community records.
PHYSICAL DEMANDS AND WORK ENVIRONMENT
  • Continually required to sit, walk, stand, talk, hear, and utilize hand, finger, and visual dexterity to operate equipment and use a keyboard.
  • Occasionally required to lift, push, or carry items up to 25 pounds.
  • Occasional exposure to outside weather conditions.
On-site work attendance is required.
