Job Description

Job Summary 30 hours per week. Independent contractor/1099. ​We are se​eking a dynamic and highly organized Office Coordinator/Home Care Operations Manager to lead our administrative and operational functions within the healthcare or home care setting. This role is vital in ensuring seamless office management, efficient practice operations, and exceptional support for clinical staff. The ideal candidate will possess strong leadership skills, comprehensive medical office experience, and a passion for delivering outstanding patient and client service. You will oversee daily administrative activities, manage staff, coordinate with healthcare providers, and ensure compliance with industry standards such as HIPAA and JCAHO regulations. Responsibilities Oversee all administrative functions within the office or clinic, including scheduling, patient records management, billing, and coding using EMR (Electronic Medical Records) systems such as eClinicalWorks, Epic, Dentrix, or Eaglesoft. Supervise medical administrative support staff, ensuring high-quality service delivery and adherence to policies related to HIPAA privacy regulations and medical records management. Coordinate daily operations of home care or clinical services, including staffing schedules, resource allocation, and workflow optimization to maximize efficiency. Manage fiscal responsibilities such as budgeting, financial management, billing processes, and expense tracking to ensure the practice remains financially healthy. Lead human resources activities including hiring, onboarding, training, performance evaluations, and maintaining a positive work environment aligned with healthcare management standards. Collaborate with healthcare providers on practice management tasks such as utilization management, managed care coordination, and compliance with JCAHO standards. Ensure all office procedures comply with legal requirements including HIPAA regulations and OSHA standards; maintain accurate medical records and documentation. Support clinical staff with clinic experience requirements such as nursing or acute care background to facilitate smooth operations across various healthcare disciplines. Implement quality improvement initiatives to enhance patient care delivery and operational efficiency within the practice setting. Experience The ideal candidate MUST have experience with: VA CCN/Homemaker Home Health Aide services DDA services and documentation MCOs/TennCare managed care organizations Home care scheduling and staffing State surveys and compliance processes Referrals, onboarding, and intake coordination This position will be heavily involved in staffing and scheduling, including: Managing caregiver schedules Handling caregiver call-ins Finding replacement caregivers when shifts need coverage Communicating with clients and caregivers regarding schedule changes Maintaining reliable staffing coverage for clients. Knowledge of healthcare regulations such as HIPAA compliance, JCAHO accreditation standards, utilization management protocols and managed care processes. Strong understanding of medical terminology, medical records handling, and clinical workflows across various specialties including critical care or hospital environments. Experience with human resources functions including staff recruitment, training programs and performance evaluations within a healthcare context.
