Job Description

Overview Application We are seeking a highly organized, hospitality-minded, and proactive Office Experience Manager to lead daily office operations and employee experience at Move Concierge. This role is responsible for creating a safe, welcoming, and high-functioning workplace while supporting cross-functional initiatives across Facilities, HR, and company culture. The ideal candidate genuinely enjoys serving others, building positive relationships, and creating thoughtful experiences that make employees and guests feel supported and valued. Key Responsibilities Workplace & Facilities Operations Manage daily office operations to ensure a clean, organized, safe, and welcoming environment Serve as primary liaison with building management and vendors Coordinate facilities maintenance, office repairs, work orders, and workplace safety/emergency preparedness Oversee office seating charts, workstations, meeting spaces, supplies, and breakroom operations Manage office operations budget, vendor spend, and purchasing processes with a focus on efficiency and cost effectiveness Coordinate shipping, receiving, shredding, and office logistics Employee Experience & HR Support Coordinate onboarding and offboarding equipment and card access for onsite and remote employees Prepare new hire workspaces, swag bags, and onboarding materials to create an exceptional first-day experience Manage employee milestone recognition programs including birthdays, anniversaries, weddings, new babies, and bereavement support Coordinate equipment returns and access deactivation processes with professionalism and discretion Vendor & Systems Management Manage office vendors, catering, workplace services, and procurement Administer workplace-related accounts and systems (Amazon, rideshare platforms, answering services, etc.) Build strong vendor relationships while ensuring high service standards and operational efficiency Create, maintain, and improve workplace operational processes and documentation to support consistency and scalability Events & Culture Coordinate onsite catering and employee events that foster connection and celebrate team successes Coordinate remote employee travel bi-annually Partner cross-functionally on office activities to support a positive, high-performing, and collaborative office culture Team Management Manage and support the Office Coordinator to ensure smooth day-to-day office operations and a high-quality employee and visitor experience Conduct performance reviews, provide coaching and development, and support reception coverage as needed Qualifications 5 or more years of office management, workplace operations, hospitality, or facilities management experience Experience supporting growing organizations Strong organizational, prioritization, and problem-solving skills Excellent communication and interpersonal skills with a hospitality-first mindset Experience managing vendors, budgets, and workplace logistics Ability to handle confidential and sensitive information with discretion and professionalism Proficiency with Google Workspace, Microsoft Office, scheduling tools, and workplace systems CPR/AED certification preferred (or willingness to obtain) Preferred Characteristics Exceptionally detail-oriented, proactive, and service-minded Passionate about creating a welcoming and memorable employee experience Comfortable managing multiple priorities simultaneously with a positive, solutions-oriented attitude Embraces feedback, continuous improvement, and operational excellence Leads with humility, ownership, and a team-first mentality aligned with Move Concierge core values Physical Requirements Prolonged periods of sitting at a desk and working on a computer Frequent use of hands and fingers for typing, filing, and operating office equipment Ability to communicate effectively in person and by telephone Must be able to occasionally stand, walk, bend, reach, and lift office materials up to 25 pounds Ability to navigate throughout the office and attend meetings in various locations as needed Visual ability to read printed and electronic documents May occasionally require extended hours during peak business periods or special projects Apply for this Job
