Job Description

Office & Finance Coordinator Overview:
Join the Hayward Area Chamber of Commerce in a vital role that helps keep our office organized, efficient, and welcoming. We're seeking a personable, detail-oriented professional to support daily office operations, financial recordkeeping, team coordination, and member and vendor relationships. This position is a great fit for someone who enjoys variety, communicates well, and takes pride in supporting both a team and a larger mission. You'll play an important role in helping the Chamber serve local businesses and the broader Hayward community. This position reports directly to the Executive Director.
Schedule and Benefits:
Position will consist primarily of weekday business hours, 20-25 hours per week. Limited weekends and/or evenings during our annual Musky Fest, Fall Fest, and Annual Awards Dinner required. Compensation will be based on qualifications and experience. Benefits include a flexible schedule, 2 weeks paid vacation, plus wellness days.
Responsibilities:
This role supports the daily operations of the Chamber office and helps ensure members, visitors, and community partners receive timely, friendly service. Maintain accurate financial records using QuickBooks, including invoicing, deposits, accounts payable and receivable, payroll support, reconciliations, and related reporting. Provide friendly, professional support to members, visitors, vendors, and the public by phone, email, social media, and in person. Assist with general office operations, including correspondence, filing, supply inventory, office equipment coordination, and document preparation. Maintain accurate member information in Chamber databases and programs. Support Chamber programs and publications, including gift certificates, membership reports, marketing emails, calendar invites, and annual print guides. Proofread and edit materials for accuracy, grammar, and layout. Assist the Executive Director and Director of Marketing and Events with additional projects and priorities as needed.
Key Attributes:
The ideal candidate is organized, personable, dependable, and comfortable balancing a variety of tasks. We're looking for someone who has: A strong customer service mindset and the ability to work well with members, visitors, vendors, and teammates. Strong written and verbal communication skills. Previous bookkeeping experience, or the willingness and ability to learn bookkeeping in a small business environment. Attention to detail and the ability to manage multiple projects through completion. A self-starting, team-oriented approach with the ability to prioritize work and meet deadlines. Proficiency in, or willingness to learn, tools such as Word, Excel, QuickBooks, Constant Contact, Square POS, and related office software. Flexibility, professionalism, and respect for confidential information.
