Job Description

Job Overview The Office Manager is responsible for overseeing the day-to-day operations of the front office while providing administrative support to the Vice President, President, and management team. This role is ideal for someone who is dependable, highly organized, and professional, with the ability to manage multiple priorities in a fast-paced environment. Qualifications Associate's degree or higher preferred, or equivalent experience Minimum of 5 years of relevant experience Strong understanding of bookkeeping principles and office management processes Proficiency in QuickBooks required; Microsoft Office (Excel, Word, Outlook) preferred Excellent organizational, multitasking, and time management skills Strong attention to detail with the ability to complete work accurately and efficiently Effective communication and interpersonal skills Excellent problem-solving skills Ability to work both independently and as part of a team Customer service experience preferred Ability to lift files, open filing cabinets, and perform tasks that may require bending, reaching, and standing Willingness to learn and adapt to new tasks and environments Responsibilities and Duties Perform daily accounting functions including bookkeeping, filing, timekeeping, and reporting Handle front office responsibilities such as answering phones, managing emails, scanning, filing, and assisting with general office needs Maintain and update documents, spreadsheets, and ERP systems Work closely with the bookkeeper to support month-end and year-end closing processes Assist leadership (Vice President and President) with administrative tasks, including interview coordination, banking transfers, and document preparation Accounts Payable, Receivable, and Invoicing Collect and log employee time tickets and submit for payroll processing Coordinate and communicate office activities and support overall office operations Run occasional errands and provide general administrative support as needed Benefits Paid Vacation Paid Personal Time 8 Paid Holidays Medical, Dental, Vision and Prescription Drug Benefits EAP (Employee Assistance Program) Health Savings Account Long-Term Disability Basic Life Insurance (company-paid) Optional Life Insurance (employee, spouse, children) Optional Accidental Death and Dismemberment Insurance Wellness Program and Discounts About Autotronic Systems & ThermalFab Products Autotronic Systems and ThermalFab Products operate together under one roof, combining automation expertise with advanced manufacturing capabilities in a fully integrated environment.
