Job Description

Job Overview Dr. Diane Slawinowski DDS P.C. is a privately owned, fee for service dental office focused on providing patients with exceptional care. The office is open Mondays 8:30AM-8:00PM, Tuesdays 8:30AM-2:00PM and Thursdays 8:00AM-5:00PM. Part time hours with full time benefits such as PTO, paid holidays, retirement with a 3% match, and dental benefits for you and your immediate family. We are seeking a dynamic and highly organized Office Manager to oversee daily office operations, ensure a smooth workflow, and foster a productive work environment. This vital role involves managing administrative tasks, coordinating communication, and supporting staff to achieve operational excellence. The ideal candidate will possess strong organizational skills, excellent communication abilities, and a proactive attitude to keep the office running efficiently and effectively. This role is central to creating a positive experience for both staff and patients. Duties Oversee and manage day-to-day operations Problem solve quickly and efficiently Inventory and order dental and office supplies through multiple platforms Serve as the primary point of contact for staff questions, troubleshooting issues quickly and efficiently Anticipate office needs and take initiative to address them without requiring follow-up Handle patient communications and resolve issues professionally Coordinate calendar management and scheduling for team meetings, appointments, and events Maintain office systems, records, and compliance requirements Support bookkeeping tasks using QuickBooks or similar accounting software to ensure accurate financial recordkeeping Manage billing, EOM, RCM, and office bill payment Oversee insurance billing, and administrative processes Qualifications Dental experience and Dentrix proficiency required Treatment planning and insurance billing experience Proven experience in office management or administrative roles with strong organizational skills Confident handling questions, solving problems, and supporting a team Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) Familiarity with QuickBooks or other bookkeeping software is preferred Process biweekly payroll through ADP Strong computer literacy with the ability to adapt quickly to new software or systems Previous clinical experience is advantageous Demonstrate time management skills with the ability to prioritize multiple tasks effectively You'll be the go-to person for questions, problem-solving, and keeping the day on track-someone the team can rely on and the doctor trusts completely.
