Job Overview We are seeking a dynamic and highly organized Office Manager to lead the daily operations of our busy office environment. This vital role requires a proactive individual who excels in multitasking, maintains exceptional attention to detail, and fosters a welcoming atmosphere for staff, clients, and visitors alike. As the cornerstone of our administrative team, you will ensure smooth office functioning, oversee clerical tasks, and support various departments to achieve operational excellence. Responsibilities Manage front desk operations, greeting visitors and handling inquiries with professionalism and warmth Oversee phone systems, directing calls accurately and courteously while maintaining excellent phone etiquette Coordinate calendar management and scheduling for executives and team members to optimize time utilization Maintain organized filing systems, data entry records, and ensure all documentation is accurate and up-to-date Handle general office management duties including supply procurement, equipment maintenance, and space organization Support bookkeeping tasks using QuickBooks or similar accounting software to assist with invoicing and expense tracking Provide exceptional customer service by supporting clients, vendors, and internal staff with their needs promptly and efficiently Requirements Proven experience in construction office management or administrative roles with strong clerical skills Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace applications Excellent organizational skills with the ability to prioritize tasks effectively in a fast-paced environment Strong computer literacy including data entry, proofreading, and document formatting skills, (Apple) Bilingual abilities are highly desirable to serve diverse client needs effectively Experience with front desk operations and phone etiquette is essential Knowledge of bookkeeping software such as QuickBooks Demonstrated ability to manage calendar scheduling, filing systems, and office supplies efficiently Exceptional customer support skills combined with professional communication and time management abilities Join us as an Office Manager to lead our administrative team with enthusiasm!
