This role requires a proactive individual with strong communication, organizational, and leadership skills to ensure smooth office functioning, accurate bookkeeping, and effective vendor and team management. The ideal candidate will have experience in office administration, bookkeeping, and human resources, with the ability to handle multiple responsibilities efficiently. This position offers an opportunity to contribute to a dynamic team environment while ensuring operational excellence. Responsibilities Manage day-to-day office operations, including front desk duties and filing systems Oversee calendar management and schedule appointments for staff and clients Handle multi-line phone systems with professional phone etiquette Coordinate event planning and assist with training & development initiatives Supervise administrative staff and support team management efforts Maintain accurate bookkeeping records using ProCore,QuickBooks or similar software Manage payroll processing, budgeting, and vendor relationships Oversee human resources functions including hiring, onboarding, and employee records management Ensure compliance with office policies and procedures Assist with medical office management tasks as needed Perform clerical tasks such as data entry, correspondence, and document preparation Skills Proven experience in office management, clerical work, or administrative roles Strong bookkeeping skills with proficiency in QuickBooks or comparable accounting software such as ProCore. Excellent organizational skills with the ability to prioritize tasks effectively Effective communication skills for interacting with staff, vendors, and clients Experience in event planning and vendor management Supervising experience with team management capabilities Knowledge of human resources functions including payroll processing and employee relations Ability to manage schedules efficiently and handle calendar management tools Familiarity with medical office management is a plus Skilled in handling multi-line phone systems and front desk operations Demonstrated ability to train staff and support professional development initiatives Attention to detail in filing, record keeping, and financial documentation This role is integral to maintaining an efficient office environment while supporting financial accuracy and team coordination.
