Job Description

Job Summary We are seeking a dynamic and highly organized Office Manager / Bookkeeper to join our team! This vital role combines administrative leadership with financial oversight, ensuring the smooth operation of daily office activities while maintaining accurate bookkeeping records. The ideal candidate will be proactive, detail-oriented, and possess excellent communication skills, with the ability to manage multiple responsibilities efficiently. Bilingual proficiency is a plus to support diverse client and staff interactions. Bookkeeping Duties Handle bookkeeping tasks using QuickBooks or similar accounting software, Maintain accurate financial records and general ledger Manage accounts payable and receivable Reconcile bank and credit card statements Assist with monthly reporting and budget tracking Track event-related income and expenses Office & Administrative Support Support day-to-day office logistics, including supplies and organization Oversee daily office operations, including greeting visitors and handling phone and email inquiries with professionalism and courtesy Perform data entry, maintain filing systems, and ensure accurate record-keeping for all administrative documents Coordinate vendors, service providers, and routine scheduling Maintain and improve internal systems and processes Organize and maintain digital and physical records HR & Coordination Support Assist with onboarding paperwork and contractor coordination Support basic administrative HR processes Event Support Provide administrative and logistical support for events Assist with the coordination of vendors, documentation, and event needs Help ensure smooth execution during peak event periods Experience Proven office management experience with a strong background in administrative support roles Demonstrated proficiency in QuickBooks accounting software (QB certification preferred) and Microsoft Office Suite (Word, Excel, Outlook) Previous clerical experience involving data entry, filing, proofreading, and document management Excellent organizational skills with the ability to multitask efficiently in a fast-paced environment Strong customer service skills complemented by professional phone etiquette and effective communication abilities Join us in creating an energetic workplace where your organizational talents shine!
