Job Description

Job Overview We are seeking an energetic and detail-oriented Office Manager / Bookkeeper to join our dynamic team. This vital role combines administrative leadership with financial oversight, ensuring smooth office operations and accurate bookkeeping. Responsibilities Manage daily office operations, including front desk duties, greeting visitors, and maintaining a welcoming environment Oversee multi-line phone systems, answer inquiries promptly, and direct calls efficiently using proper phone etiquette Perform bookkeeping tasks using QuickBooks, including data entry, invoicing, expense tracking, and bank reconciliations Maintain organized filing systems, both physical and digital, ensuring easy retrieval of documents Support calendar management and scheduling for team members and appointments Assist with clerical tasks such as proofreading documents, preparing reports, and managing correspondence Provide exceptional customer support via phone, email, and in person to clients and vendors Coordinate office supplies procurement and inventory management to ensure smooth daily operations Support medical or dental receptionist duties if applicable, including patient check-in/out and appointment scheduling Handle data entry tasks accurately while maintaining high levels of computer literacy across Microsoft Office and Google Workspace tools Perform general administrative duties such as proofreading documents, managing time effectively, and supporting personal assistant responsibilities when needed Experience Proven office management experience with a strong background in administrative roles Prior bookkeeping experience using QuickBooks or similar accounting software Demonstrated clerical experience including filing, data entry, proofreading, and document organization Excellent customer service skills with the ability to handle multiple phone lines and manage front desk operations seamlessly Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, Outlook) and Google Workspace (Gmail, Drive) Bilingual abilities are highly desirable to serve diverse client needs effectively Experience in medical or dental reception is a plus but not required Exceptional organizational skills with the ability to prioritize tasks efficiently and manage time effectively Join us in creating a vibrant workplace where your organizational talents and financial acumen will make a meaningful impact. Pay:
$22.45 - $27.04 per hour
