As we continue to scale, we are investing in the operational foundation that allows our research teams to do their best work, and the Office Manager is central to that. The Role We are looking for a highly organized, proactive, and dependable Office Manager to own the day-to-day operations of Channel Dynamics. This is a broad role that sits at the intersection of administration, finance, and operations. In this role, you will touch everything from consultant payments and expense reconciliation to travel coordination, scheduling, food delivery, and fielding requests from across the team. The right person is a natural problem-solver who takes pride in keeping things running smoothly and creates an environment where the rest of the team can focus on their work. What You Will Own Consultant Payments Manage end-to-end processing of all consultant and expert payments accurately and on time Maintain a clean, up-to-date log of all consultant payments Liaise with the research team to confirm call activity and verify payment eligibility before processing Flag and resolve any discrepancies or missing information before payments are issued Administration & Scheduling Manage and maintain executive calendars, scheduling internal and external meetings with accuracy and forward planning Serve as a point of coordination for internal team scheduling, all-hands meetings, and firm-wide calendar management Prepare meeting materials, agendas, and follow-up notes as needed Draft and manage routine correspondence and communications on behalf of leadership Maintain organized filing systems for contracts, invoices, HR documents, and operational records Support leadership with ad hoc administrative tasks and special projects as they arise Travel Coordination Own all travel logistics for the team, including flights, hotels, ground transportation, and itineraries Manage travel bookings cost-effectively and in line with company policy Prepare detailed travel itineraries and proactively manage any changes or disruptions Track and reconcile travel expenses and ensure timely reimbursement processing Office Management Serve as the primary point of contact for all office operations. This includes vendors, building management, supplies, and equipment Maintain a well-organized, professional office environment that reflects the Channel Dynamics brand Manage office supply inventory and place orders proactively to avoid any disruptions Coordinate workspace setup and building access for new hires as part of the onboarding process Liaise with building management and external vendors, holding them accountable to agreed standards Office Hygiene & Upkeep Ensure the office is consistently clean, tidy, and well-presented throughout the working day Manage relationships with cleaning vendors and maintain quality standards Proactively address any hygiene or maintenance issues, escalating as needed Create a welcoming environment for employees, clients, and visitors at all times Ideal Candidate We are looking for someone who is organized, reliable, and energized by the prospect of owning a broad operational role in a fast-paced environment. Experience in office management, executive assistance, or a broad operations role Exceptional attention to detail, you catch things others miss and follow through without being reminded Strong organizational skills with the ability to manage multiple priorities and shifting deadlines simultaneously Comfortable working with spreadsheets and basic financial records, including expenses, invoices, and payments Experience managing executive calendars and coordinating complex travel logistics A proactive, ownership mindset, you don't wait to be asked, and you find a way to get things done Professional, warm, and polished interpersonal presence in the office Experience in a fast-paced, high-growth professional services or financial services environment is a strong plus Why Channel Dynamics This is an opportunity to be the operational backbone of a growing firm at a genuinely exciting stage of its journey.
