Job Description
Position Summary:
Responsible for the supervision of department reception, telephone, medical records, and worker's compensation staff. Create and maintain a smooth workflow process in a stressful and high volume orthopedic clinic with three offices. Ensure that the office runs efficiently at all times and patient needs are met in a timely and customer service friendly environment. The Office Manager must be able to work without direct day to day supervision, exercising independent judgment. The Office Manager must be able to analyze problems and draw upon experience and background knowledge to see that solutions are reached and assignments completed. The Office Manager is responsible for all phases of work, from determining priority to completion and also monitors and is responsible for the accuracy and quality of work performed by department staff. The Office Manager oversees the physicians schedule to ensure reception assistants coordinate physician messages and schedule requirements on a daily basis.Essential Job Functions:
- Interacts daily with physicians to ensure proper flow of communication.
- Manage reception, medical records, and worker's compensation to ensure supervisors prepare work schedules, expedite work flow, and coordinate time off.
- Assigns duties and examines work for exactness, neatness, and conformance to Revere Health policies and procedures. Make changes in process where necessary to ensure conformance to Clinic policies.
- Identify and resolve problems in a timely and effective manner.
- Maintain harmony among workers and resolve grievances or disputes.
- Manage difficult, financial or emotional patient situations. Respond promptly to patient needs. Ensure good quality patient relationships.
- Develop office processes and procedures for work activity. Assist administrator with staff education and training.
- Review reports from billing to ensure proper information is maintained on patient demographics, insurance, and charge codes.
- Maintain department focus on customer service. Develop procedures and training for telephone and reception customer service principles and actions.
- Manage daily cash handling, credit card reports, co pay collection and reporting.
- Interview and select new hires coordinating with physicians and administrator.
Qualifications:
- Medical office management experience
- Analytical and management ability to manage processes for efficiency and customer service improvements.
- Ability to generate reports for analysis and implement actions to resolve problems or improve office workflow.
