About the Company Care Security Systems is a woman-owned, 35-year security integration company based in Suffern, NY. We specialize in fire alarm, access control, video surveillance, and intrusion detection systems for Fortune 500 commercial clients throughout the tri-state area. About the Role We're seeking an Office Project Manager to serve as the liaison between our customers, installation teams, and internal stakeholders. This office-based position requires strong organizational skills, attention to detail, and the ability to manage multiple security installation projects simultaneously. The role includes occasional site visits for customer meetings and project walkthroughs. Responsibilities Project Documentation & Administration Maintain accurate project files including contracts, submittals, change orders, and closeout documents Track project status updates and prepare reports for management and customers Process invoices, purchase orders, and project-related financial documentation Schedule & Resource Coordination Coordinate installation schedules with customers, subcontractors, and internal teams Manage material ordering, delivery logistics, and equipment tracking Adjust timelines and schedules as needed to keep projects on track Customer & Stakeholder Communication Serve as primary point of contact for customers during project execution Conduct site walks and attend pre-construction meetings Provide regular updates on project milestones, timelines, and changes Coordinate communications between sales, operations, and installation teams Additional Duties Support Project Manager with project planning and goal implementation Track project accomplishments and identify potential issues Ensure all stakeholders have necessary information to meet deadlines Qualifications 3-7 years of project coordination or administrative experience in construction, electrical, or related field Excellent verbal and written communication skills Strong problem-solving skills and attention to detail Ability to prioritize and manage multiple projects simultaneously Proficiency in Microsoft Office Suite (Excel, Outlook, Word) Valid driver's license and reliable transportation for occasional site visits Required Skills Experience with commercial construction or security system projects Knowledge of fire alarm, access control, or low voltage systems Familiarity with construction documentation (AIA billing, change orders, submittals) Experience coordinating with subcontractors and vendors Background in customer-facing roles Pay range and compensation package Competitive salary: $55,000 - $75,000 annually (based on experience) Benefits package including medical, dental, and vision insurance 401(k) with company matching Paid time off and company holidays Stable, established company with 35+ years in business Work with Fortune 500 clients on high-profile commercial projects Professional growth opportunities Work Environment Office-based position in Suffern, NY Occasional site visits for customer meetings and project walkthroughs Collaborative team environment Fast-paced, multi-project workload Monday - Friday schedule To Apply Please send your resume to: malvarado@care-inc.
