Company Description The Salem Building Arts Center (SBAC) is a premier organization committed to advancing educational building arts initiatives in Salem County and the surrounding region. Our mission is to help individuals develop marketable skills, foster opportunities for youth and others, and restore historic buildings to benefit society and future generations. Job Summary The Operations Coordinator at SBAC is responsible for overseeing and coordinating the daily administrative and operational functions of the center to ensure efficient, organized, and community-focused operations. This role requires a proactive, highly organized professional who can manage office systems, support events and programming, coordinate communication across departments, and improve operational processes that support SBAC's mission and growth. Key Responsibilities 1. Operations & Administrative Coordination Coordinate day-to-day operations of the center to ensure smooth workflow and efficiency. Serve as the primary operational support contact for staff, instructors, students, artists, and visitors. Oversee scheduling for meetings, workshops, classes, and facility usage. Maintain organized digital and physical records, systems, and operational procedures. Develop and improve administrative workflows and operational processes. 2. Office & Facility Management Manage office supplies, inventory, and equipment needs. Coordinate maintenance, repairs, and vendor services for the facility. Ensure the center remains clean, organized, functional, and welcoming. Assist with space setup and logistics for classes, meetings, exhibitions, and community events. 3. Program & Event Operations Coordinate operational logistics for workshops, exhibitions, performances, and community programs. Manage registrations, attendance tracking, and event communication. Ensure instructors and program partners have the necessary materials and resources. Support onsite event operations and troubleshoot issues as needed. 4. Communication & Community Coordination Act as a liaison between leadership, staff, instructors, community partners, and external stakeholders. Respond to phone calls, emails, and inquiries professionally and promptly. Assist with newsletters, promotional materials, website updates, and social media coordination. Help strengthen community engagement and partnerships through organized communication efforts. 5. Financial & Grant Support Assist with operational budgeting, invoice processing, expense tracking, and financial documentation. Support grant administration by maintaining records and tracking funding allocations. Help monitor operational expenses and maintain accurate financial records. Assist with payment processing and registration reconciliation. 6. Data & Technology Management Maintain databases, attendance systems, and operational records with accuracy. Support basic technology troubleshooting and coordinate with IT support when needed. Assist in maintaining digital systems that improve organizational efficiency. Help monitor data reporting and program metrics. 7. Compliance & Safety Ensure operational compliance with SBAC policies, procedures, and safety standards. Assist in implementing workplace safety procedures and OSHA-related guidelines. Help maintain a safe and secure environment for staff, students, and visitors. 8. Leadership & Operational Support Provide operational support to the Director and leadership team. Assist with special projects, strategic initiatives, and organizational improvements. Identify opportunities to streamline operations and improve efficiency across programs and administration. Qualifications High school diploma or equivalent required; associate's or bachelor's degree preferred. Experience in operations coordination, office management, administration, or related roles. Strong organizational, multitasking, and project coordination skills. Proficiency in Microsoft Office Suite and general administrative technology. Excellent communication and interpersonal skills. Ability to work independently and collaboratively in a fast-paced environment. Customer service-oriented with strong problem-solving abilities. Knowledge of bookkeeping, budgeting, or nonprofit operations is a plus. Interest or experience in arts, education, or community organizations preferred. Working Conditions Position operates primarily within a community arts and training center environment. Occasional evening or weekend hours may be required for events and programming. Some lifting, setup, and physical activity may be required during events and facility coordination.
